Description

This position is responsible for the entire purchasing for the surgical areas; including OR, preop/PACU, anesthesia, sterile processing, routine and specialty items. This position is responsible for assisting the OR/Sterile Processing Coordinator in the research and purchasing of equipment and services for the surgical services departments. This position is responsible to inventory, restock, and distribute medical supplies within the perioperative areas, which includes replenishment in the Operating Rooms, Procedure room, cores, and surgery main. This position will assign and input appropriate charge master codes for new surgical products.

Requirements

ESSENTIAL FUNCTIONS:

  • Prepares purchase orders and places orders for the purchase of supplies and services.
  • Researches product lines, prices product sources, and other relevant purchasing information as it pertains to the hospital and the GPO and GSA contracts.
  • Serves as a liaison between vendors and the department personnel when assigned.
  • Organizes and maintains product information files and purchase order records.
  • Reviews all order requests for completeness, accuracy and compliance.
  • Monitors vendor performance and recommends necessary action for improvement.
  • Verifies budgeted funds for specific projects prior to purchase.
  • Processes mail, purchase orders, invoices, catalogs, and special orders.
  • Maintains a basic general knowledge of medical supplies and equipment, medical terminology and GRMC purchasing contracts.
  • Complies with State and GPO Purchasing requirements for all purchasing transactions.
  • Prepares and processes purchase orders for payment, working closely with Accounts Payable Department and the Receiving Clerk, especially with regard to overdue and/or problem shipments/receiving.
  • Provides status checks as required, and keeps hospital departments & Materials Management Director informed about orders and other issues.
  • Reviews operating room schedule and supply usage report in advance to ensure proper supply levels for future procedures.
  • Inventory & replenish all locations for the entire OR area, i.e. Surgery_I, Core 1 & Core 2, Rooms 1-6, Cysto Rm, Carts & Janitor Closet
  • Rotate stock using "first in, first out" method of inventory management.
  • Fills requisitions from stock in storage areas, i.e. to include MM main warehouse to OR Main transfers of supplies
  • Maintain and work thru the daily rejection list
  • Human Tissue/Implant reordering, logging and filing
  • Informs OR/Sterile Processing Coordinator on any product conversions and/or substitutions.
  • Work with OR/Sterile Processing Coordinator to ensure proper stocking levels are maintained and supplies are ordered routinely.
  • Escalate and solve supply issues with the OR/Sterile Processing Coordinator and Surgical Services Director, and involve clinicians when necessary.
  • Develops and inputs meditech & CDM codes for all new products into the surgery area. Providing proper feedback to caregivers needing these numbers to complete their tasks.
  • Wears appropriate protective equipment when necessary. Follows all OR Infection Control & Standard Precautions including adherence to hand washing requirements, workflow patterns, standard precautions, dress code and sterility assurance.
  • Ensures proper documentation is maintained electronically and manually.
  • Participates in all competency programs, attends meetings, and trainings when required.
  • Additional Duties as assigned.

EDUCATION & TRAINING REQUIREMENTS:

  • Minimum High School Diploma or GED.
  • Associates Degree in Business Administration or related field, preferred.
  • One (1) year experience managing supplies preferably in a perioperative environment and/or Sterile Processing experience required.
  • One (1) year experience operating within an inventory management system, required.
  • 3 years experience with purchasing, preferred.
  • Experience with vendor/ supply internet research.
  • Good communicator. Strong negotiation, problem solving, and decision making skills.
  • Organized and detail-oriented.
