Job Title: Order Entry / Customer Service Pharmacy Technician
Job Description
This role focuses on accurately entering medication orders, triaging incoming requests, and providing professional customer service to long-term care facilities and healthcare providers in a closed-door pharmacy environment. You will handle phone calls, faxes, and electronic orders, review patient profiles to determine order appropriateness, and support pharmacists, nurses, and physicians by answering medication-related questions and resolving order issues.
Responsibilities
- Receive and triage incoming phone calls from long-term care facilities, pharmacists, nurses, and physicians, and route them to the appropriate team members or departments.
- Process medication orders received via fax and other electronic formats by reviewing patient profiles and determining whether it is appropriate to place the order.
- Prepare and organize incoming documents by highlighting pertinent information electronically and forwarding them to the order entry team for processing.
- Perform order entry tasks, including typing medication orders accurately and ensuring correct use of SIG codes and other prescription abbreviations.
- Answer questions related to medications, orders, and patient profiles in a professional and timely manner.
- Call long-term care facilities for all new admissions to confirm and verify medication orders and related information.
- Investigate issues with orders by reviewing previous orders and understanding how the Automatic Dispensing Unit operates to identify and resolve errors.
- Handle transfers of prescriptions to retail pharmacies when needed, ensuring accurate and complete transfer of information.
- Maintain accurate data entry for all orders, faxes, and electronic requests, ensuring completeness and compliance with pharmacy procedures.
- Collaborate with other pharmacy team members to manage the front line of the pharmacy, including all incoming phone calls, faxes, and electronic orders.
- Follow established workflows and procedures while contributing to continuous improvement in a technology-driven environment.
Preferred Skills
- Registered pharmacy technician with the state of Pennsylvania (state registration required; national certification alone does not qualify).
- At least 6 months of pharmacy experience in a retail setting (such as CVS, Walgreens, or similar) or in a long-term care setting on the order entry or triage side.
- Hands-on experience typing medication orders and working with SIG codes in a pharmacy environment.
- Proficiency in data entry with strong attention to detail and accuracy.
- Demonstrated customer service experience, including handling calls and supporting patients, clinicians, or facility staff.
- Experience working as a pharmacy technician, with knowledge of order entry, inventory, and basic pharmacy workflows.
- Ability to review patient profiles and make informed decisions about whether to place medication orders.
- Capability to troubleshoot order issues by reviewing prior orders and understanding the operation of Automatic Dispensing Units.
- Strong communication skills to interact effectively with pharmacists, nurses, physicians, and long-term care facility staff.
- Ability to work flexible shifts, including daylight, mid-day, and evening schedules, as well as rotating weekends.
Additional Skills & Qualifications
- Experience working in major retail pharmacy environments such as Target, Walgreens, CVS, or similar frameworks.
- Pharmacy technician certification in addition to state registration, where applicable.
- Experience in inventory management and order entry within a pharmacy setting.
- Exposure to technology-driven pharmacy systems and electronic document handling.
- Prior experience in a closed-door or long-term care pharmacy environment.
- Ability to work effectively in a growing, start-up-like environment where processes continue to evolve.
- Comfort working with educated, professional colleagues in a collaborative team setting.
Work Environment
This position is based in a closed-door pharmacy environment that is not customer facing. The team manages the front line of the pharmacy, handling all incoming phone calls, faxes, and electronic orders from long-term care facilities and other healthcare partners. You will work at your own cubicle in a technology-driven setting where electronic document triage and order entry are central to daily operations. The environment has a growing, start-up feel, with ongoing process improvements and a focus on leveraging technology to streamline workflows. The role includes triaging documents and orders, while other team members focus on typing and finalizing orders, and also involves transfers to retail pharmacies as needed. The schedule includes multiple shifts-6:30am-3:00pm, 10:30am-7:00pm, and 2:30pm-11:00pm-with rotating weekends approximately every third weekend. Candidates are expected to work all three shifts as needed, allowing for predictable scheduling within a structured, professional pharmacy setting.
