Pella is seeking an Order Fulfillment Coordinator for our Chicago Sales Subsidiary. The Order Fulfillment Coordinator is responsible for the day to day administrative and support functions for all warehouse and assembly activities of the Chicago Sales Subsidiary. Systems and process expert on all warehouse and outbound loading functions. Company champion of complete & accurate deliveries and primary liaison between operations activities and the rest of the organization. Special Projects and other duties as assigned and based on business necessity. This is a critical role to our operations team that requires exceptional attention to detail. This is a full-time in-person role that will work at our Geneva IL office/warehouse.

  • The pay range for this role is $26 - $32/hr., with eligibility to receive other supplemental earnings such as over-time. Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, experience, specific work geography, as well as internal equity and alignment with market data.

Education and/or Experience

A high school diploma is required. Experience and knowledge of the Sales Subsidiary order fulfillment processes including quoting, purchasing, order management, delivery scheduling, and warehousing is required. Must have an expert level understanding of all Pella products and their applications.

Language and Communication Skills

Strong communication skills are essential. Must be able to communicate with many internal departments in efforts to keep operations flowing smoothly.

Reasoning Abilities

Ability to apply commonsense understanding to carry out detailed written and oral instructions. Physical Demands

While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel, especially with use of the phone and computer. The employee frequently is required to reach with hands and arms and talk or hear especially in use of the telephone and meetings. The employee is occasionally required to stand, walk, stoop, kneel, crouch, or crawl. The employee may occasionally lift and or move up to 100 lbs. Repetitive body motions may be required. Specific vision abilities required by this job include close vision, and ability to adjust focus to read written company forms, correspondence, policies, brochures, state/local/federal employment law manuals, and other documents and reading materials as well as the computer.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Primary work location will be the designated at the time of hire. The noise level in the work environment is usually low to moderate in administrative office and moderate in the warehouse.

Operations Workload Responsibilities

  • Responsible for monitoring, tracking, and communicating workload for all shipping, HP's and UPS activities on a daily, weekly, monthly and historical basis.

  • Coordinates changes to shipping schedule including late additions and rescheduled deliveries.

  • Organizes all information and corresponding paperwork for employees involved in performing warehouse and assembly functions.

  • Updates display boards with accurate workload information.

  • Responsible for maintaining records on all operations efficiency metrics relating to warehouse.

  • Responsible for monitoring, tracking, and communicating workload for all receiving, held accessory, weekly, monthly and historical basis.

  • Updates display boards with accurate workload information.

  • Responsible for maintaining records on all operations efficiency metrics relating to warehouse and assembly functions.

  • Assure that all inbound product that arrives via small package carriers and needs to be scanned into OMS is done in a timely matter.

Accurate & Complete Delivery Responsibilities

  • Company champion for improving the overall accuracy and completeness of Sales Subsidiary deliveries. Constantly striving to reduce delivery shortages.

  • Responsible for the reconciliation of all outbound delivery loads. This involves the ultimate ownership of ensuring accurate, complete, and on-time deliveries to our customers.

  • Researches and problem-solves issues on orders with discrepancies.

  • Runs queries to ensure product is scanned to the appropriate location. Follows-up to ensure correction of discrepancies.

Systems Responsibilities

  • Expert on all warehouse RF scanner and PC-based OMS processes. Responsible for defining changes to existing processes and creating new processes as conditions necessitate.

  • Provides training to warehouse and assembly personnel on all applicable systems and processes.

General Responsibilities

  • Primary contact for all communications originating from other company departments. Fields questions, researches issues, funnels requests, and generally reduces disruptions to warehouse.

  • Acts as backup to Material Handling, Delivery, Prefinish and Assembly daily work activities.

  • Promotes and facilitates continuous improvement activities in the department.

  • Backs up assembly functions, held accessories & receiving reconciling.

  • Backs up Logistics Coordinator.

  • Identifies areas of opportunity in warehouse and assembly processes to improve inventory accuracy, delivery completeness and accuracy, and overall efficiency.

  • Key coordinator of physical inventory activities in all operations areas.

  • Communicates with numerous vendors in efforts to oversee facilities and equipment maintenance.

  • Keeps operations records including PM schedules, maintenance expenditures, and purchases.
