Position Overview

The Order Fulfillment Specialist is responsible for managing and monitoring Luxury order fulfillment to ensure timely delivery and customer satisfaction. The position involves tracking new and existing orders, identifying potential delays, and prioritizing shipments based on dock dates and completion status. It requires proactive communication with dealers regarding order status and partial shipment options, as well as coordination with manufacturing and shipping teams to execute partial shipments and resolve back-orders.

Duties and Responsibilities

  • Daily monitor new Luxury orders and existing Luxury orders approaching 80% completion
  • Identify Luxury orders that are not going to be completed by the Dock Date
  • Prioritize orders by Dock Date and /or their percentage of completion
  • Contact Dealers with status updates then verify if they'll accept partial shipments
  • Coordinate with Quaker's Shipping & Manufacturing teams to ship partially filled Luxury orders
  • Work with the Manufacturing Teams to get the partial orders to Shipping
  • Work with the Shipping Teams to get the partial orders loaded
  • Monitor backorders that have missed the Dock Date until completion
  • Initiate email and phone correspondence to Dealers to provide on orders
  • Prompt and regular attendance at an assigned work location.
  • Interact and communicate with employees and customers in an appropriate manner.
  • Availability on site to confer with staff members with whom the employee must interact on a regular basis.
  • Communicate via email, prepare reports and work schedules.
  • Review and analyze data and information concerning all outstanding Luxury orders.
  • Complete assigned tasks/projects in a timely manner.

Supervisory Responsibility

No direct management or supervisory responsibilities.

Safety

Observe safety and security policies and procedures, including proper use of Personal Protective Equipment including but not limited to eye and foot protection and report potentially unsafe conditions; during any visits to the production floor.

Travel

No travel is required.

Qualifications

An individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Proficient with Microsoft Office software: Excel, Word, Outlook
  • Proficient knowledge of Quaker's Luxury product offerings and options
  • Proficient knowledge of Quaker's Q1 quote and order system / platform
  • Proficient knowledge of Quaker's backend green screen order system

Preferred Education and Experience

An individual is expected to have the minimum level of education and/or related expertise listed here:

  • High school diploma or a passed General Education Development test preferred
  • Minimum 2 Years Manufacturing Experience
  • Minimum 2 Years Experience with Quaker's Product

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday during normal business hours. Occasional evening and weekend work may be required as job duties demand.

Work Environment Although the employee will primarily be in an office setting, while performing the duties of this job, the employee may need to visit the factory and be exposed to climactic variations, various levels of vibration, and moving mechanical parts. The noise level in the office is usually low, but hearing protection may be advisable or required for prolonged visits to certain parts of the factory.
