Position Overview:
The Order Operations Supervisor is responsible for leading nationwide consumable and capital order fulfillment operations supporting a rapidly growing medical device business. This role oversees high-volume order operations, customer escalations, shipment coordination, and cross-functional operational execution to ensure timely and accurate fulfillment, exceptional customer support, and scalable operational performance.
This position plays a critical role in supporting continued business growth by driving operational efficiency, improving order-to-shipment performance, optimizing workflows, and proactively planning operational capacity. The role manages a team responsible for processing high volumes of purchase orders monthly while coordinating closely with a nationwide commercial organization to support customer commitments, installation timelines, inventory allocation, and monthly revenue objectives.
The Order Operations Supervisor serves as a key operational liaison across Sales, Finance, Warehouse, Supply Chain, Quality, and other business functions, balancing customer urgency, operational capacity, inventory constraints, and shipment execution in a fast-paced, high-growth environment.
This position reports to the Senior Supervisor, ES Operations.

Job Description:
Duties and Reponsibilities
- Lead and manage daily nationwide order fulfillment operations for consumable and capital products supporting a rapidly growing medical device business.
- Manage, develop, and coach a team responsible for high-volume order processing, customer support, and operational follow-through from order receipt through shipment execution.
- Coordinate closely with Sales, Warehouse, and cross-functional teams to prioritize shipment execution, installation timelines, and inventory allocation in support of customer commitments and monthly revenue objectives.
- Manage operational execution in a fast-paced environment requiring coordination across a nationwide commercial organization while balancing limited inventory, customer urgency, operational priorities, and shipment timelines.
- Monitor operational KPIs including order-to-shipment turnaround time, 24-hour shipment performance, backlog management, order accuracy, and escalation responsiveness.
- Analyze business trends, order volume growth, and operational performance to proactively plan staffing, workload balancing, and scalable operational processes.
- Drive continuous process improvement initiatives to streamline order fulfillment workflows, improve operational efficiency, and support future business scalability.
- Serve as an escalation point for critical customer and internal operational issues and drive timely resolution to minimize business impact.
- Coordinate closely with warehouse operations to ensure accurate and timely fulfillment of customer orders while maintaining high service levels.
- Leverage SAP and related operational systems to improve process visibility, operational reporting, and workflow efficiency.
- Partner cross-functionally with Sales, Finance, Warehouse, Supply Chain, Quality Assurance, and other departments to ensure operational alignment and customer satisfaction.
- Support monthly revenue realization by ensuring timely operational follow-through on customer orders, shipment readiness, and installation-related coordination.
- Support audit readiness and compliance activities in partnership with Finance, Compliance, and Quality Assurance teams.
- Conduct regular operational reviews, team meetings, and performance discussions to drive accountability and continuous improvement.
- Participate in hiring, onboarding, training, performance management, and development of team members to build a scalable and high-performing organization.
- Support additional operational initiatives and cross-functional projects within the ES Operations organization as needed.
- Adhere to and enforce all company safety policies and procedures.
- Ensure compliance with all applicable U.S. FDA medical device regulatory requirements, ISO 13485 standards, and all other applicable laws, regulations, and company policies.
Qualifications
- This individual must be dedicated, skilled, and experienced in ES Operations at a management level and highly proficient and organized in effective communication with internal and external customers including sales, service, and distribution.
- Highly focused and results-oriented; able to identify goals and priorities and resolve issues in initial stages.
- Demonstrates ability to work independently and in a team environment, self-starter who can motivate others.
- Possess exceptional communication/interpersonal, analytical, and problem-solving skills.
- Proficient computer skills using Microsoft Word, Excel, PowerPoint, and SAP.
- Aptitude to learn new software applications.
Minimum requirement - High School or GED diploma, advanced degree preferred; plus at least five (5) years’ work experience in a fast-paced customer service/support environment, with at least three (3) years in a management capacity.
Ability to read, analyzes, and interprets essential job-related documents.
Ability to present and speak effectively and professionally to all internal and external customers.
Ability to calculate and match figures and amounts.
