    Position Overview

    Securify is seeking an experienced Order Processing Lead to oversee the full order lifecycle for our physical security and network solutions projects. You will lead and develop a small team responsible for high-volume order entry, tracking, returns, and change orders in D-Tools Cloud, while building strong working relationships with vendors, Project Managers, and internal departments including Finance, IT, Service, and Installation. This role requires senior leadership experience, exceptional attention to detail, and the ability to keep multiple concurrent orders, deadlines, and priorities moving smoothly across the office and warehouse.

    As the Order Processing Lead, you will set the standard for accuracy and responsiveness in how Securify processes, tracks, and delivers materials for every project. Success in this role requires proven people leadership, strong organizational skills, and hands-on experience with order processing, procurement, and distribution in a technical or managed services environment.


    Key Responsibilities

    Leadership & Team Management

    • Lead, train, coach, and develop the Order Processing Assistant and other support staff, setting clear expectations and daily priorities.
    • Manage day-to-day workflow and staffing coverage for order processing, procurement, and shipping and receiving.
    • Conduct performance check-ins, provide ongoing feedback, and support team members' growth.
    • Serve as the point of escalation for complex order issues, vendor disputes, and time-sensitive procurement needs.

    Order Processing & Procurement

    • Oversee the full order lifecycle in D-Tools Cloud, for a high volume of orders, returns, and change orders.
    • Source materials and equipment, negotiate pricing and lead times, and manage relationships with vendors and suppliers.
    • Track order status, resolve discrepancies, and proactively communicate delays or issues to Project Managers and stakeholders.
    • Process returns, RMAs, and change orders accurately and promptly.

    Distribution, Shipping & Receiving

    • Oversee shipping, receiving, and distribution of equipment and materials between the warehouse, office, and job sites.
    • Ensure accurate inventory counts, proper storage, and timely dispatch of materials to technicians and installation crews.
    • Maintain organized, accurate records of purchase orders, packing slips, invoices, and tracking numbers.

    Cross-Department Collaboration

    • Partner closely with Project Managers to align order timelines with project schedules and job site needs.
    • Coordinate with Finance on purchase orders, vendor invoices, and cost tracking.
    • Work with IT, Service, and Installation departments to ensure materials and equipment are available when and where needed.
    • Communicate clearly and professionally with internal teams and external vendors to resolve issues quickly.

    Process & Continuous Improvement

    • Identify and implement process improvements to increase efficiency and accuracy in order processing and procurement.
    • Maintain and enhance documentation standards and workflows within D-Tools Cloud.
    • Perform other duties as assigned that support department and company goals.


    Qualifications

    Leadership & Experience

    • Minimum of five years of experience in order processing, procurement, purchasing, or supply chain, including at least two years in a senior leadership or supervisory role.
    • Demonstrated ability to lead, coach, and develop a team, with strong people skills and sound judgment.
    • Experience managing high volumes of orders, returns, and change orders in a fast-paced environment.

    Technical & Systems

    • Hands-on experience with D-Tools Cloud or a similar order management, quoting, or ERP platform is required.
    • Experience in security, low-voltage, AV, IT, or other managed services or technical distribution environments is strongly preferred.
    • Proficient in Excel or spreadsheet tools for tracking and reporting.

    Professional Skills

    • Excellent written and verbal communication skills, with the ability to build strong relationships with internal teams and external vendors.
    • Exceptional attention to detail and organizational skills.
    • Ability to manage multiple priorities, shifting deadlines, and competing demands.
    • Valid driver’s license and reliable transportation.
    • Clean background check required.


    Preferred Experience

    • Experience working closely with Project Managers, Finance, IT, Service, and Installation departments in a coordinated, cross-functional environment.
    • Familiarity with vendor negotiation, procurement best practices, and inventory management.
    • Experience in a small business or MSP environment where teams wear multiple hats.


    Work Location

    • This is an in-person position based at our Mountain View, California office and warehouse, and requires a daily commute. This role is not available for remote or hybrid work.
    • Reliable personal transportation is required to ensure punctual attendance.


    Physical Requirements

    • Ability to lift and carry up to fifty pounds as needed for materials and equipment.
    • Ability to stand, walk, and bend throughout the office and warehouse for extended periods.
    • Ability to use standard office equipment, computers, and warehouse handling tools as needed.
