Orthopaedic Surgical Coordinator – Total Joint Arthroplasty
Job Summary:
The Orthopaedic Surgical Coordinator serves as the primary administrative coordinator for elective total joint arthroplasty procedures, supporting a team of 3–4 orthopaedic joint surgeons and their associated physician assistants. This position is responsible for coordinating all non-clinical aspects of the surgical process, from scheduling procedures through completion of preoperative requirements, ensuring patients are fully prepared for surgery while maintaining efficient communication among patients, providers, hospitals, ambulatory surgery centers, and outside healthcare offices.
Working collaboratively with surgeons, physician assistants, nurses, medical assistants, scheduling departments, and insurance authorization teams, the Surgical Coordinator plays a critical role in maintaining an organized, efficient surgical workflow and improving the overall patient experience.
Primary Responsibilities
Coordinate scheduling of elective total joint arthroplasty procedures across affiliated hospitals and ambulatory surgery centers.
Serve as the primary point of contact for patients throughout the surgical scheduling and preoperative coordination process.
Obtain, organize, and track all required preoperative medical clearances, including those from primary care providers and consulting specialists such as cardiology, nephrology, pulmonology, hematology/oncology, and other disciplines as clinically indicated.
Monitor outstanding preoperative requirements and proactively communicate with patients and outside provider offices to resolve delays or incomplete documentation.
Upload, organize, and maintain medical documentation within EPIC using electronic document management systems such as RightFax/eFax.
Post surgical cases and ensure all required documentation is completed prior to the scheduled procedure.
Coordinate with insurance authorization/precertification departments to facilitate timely approval of scheduled surgeries.
Maintain accurate surgical schedules while communicating updates to surgeons, physician assistants, nurses, medical assistants, hospitals, and ambulatory surgery centers.
Provide professional, compassionate customer service while communicating effectively with patients, families, and members of the multidisciplinary healthcare team.
Identify opportunities to improve workflow efficiency and promote standardized surgical coordination processes across the Total Joint Arthroplasty program.
Education:
High School Diploma or GED (required)
Preferred Qualifications
Previous experience in surgical scheduling, healthcare administration, orthopaedics, or procedural coordination preferred.
Experience with EPIC electronic medical record preferred.
Proficiency with electronic document management systems (e.g., RightFax/eFax), Microsoft Office, and other healthcare technology platforms.
Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
Excellent verbal and written communication skills.
Ability to work independently while collaborating effectively within a multidisciplinary healthcare team.
Demonstrated professionalism and commitment to exceptional patient service.
Experience:
2-3 years of experience in a related medical field with experience in processing referrals (preferred)
