OSHA Compliance Coordinator

This role sits at the core of operational integrity and regulatory accountability. As the organization continues to scale across service centers, maintaining tight OSHA compliance, consistent safety execution, and clean data visibility is critical to mitigating risk and sustaining performance. The OSHA Compliance Coordinator ensures that compliance is not reactive—but systematized, measurable, and embedded into daily operations. This role bridges Safety, Operations, and Leadership by translating regulatory requirements into structured programs, actionable data, and consistent execution. Success in this role means zero gaps in compliance visibility, strong adoption of behavioral safety programs, and accurate, real-time safety data that drives decision-making at every level of the business.

Lead OSHA Compliance Execution and Regulatory Administration

  • Maintain OSHA compliance programs, documentation, and records across all service centers
  • Manage OSHA 300 Logs, annual reporting, regulatory filings, and survey submissions
  • Coordinate responses to OSHA complaints and inspections, including documentation and leadership alignment
  • Track required postings, drills, inspections, and audit readiness across locations
  • Support corrective action plans and ensure closure following audits and regulatory reviews

Operate and Scale Safety Tracking Systems

  • Administer Safety Observation (SO), Safety Leader Coaching (SLC), and Critical Process Verification (CPV) programs
  • Validate, upload, and track behavioral safety data within Luma with high accuracy
  • Monitor participation, completion rates, and compliance metrics across all service centers
  • Build and maintain dashboards tracking KPIs tied to safety performance and engagement
  • Identify execution gaps and drive follow-up with field leadership

Own LMS Administration and Training Compliance

  • Serve as the primary administrator for safety-related LMS functions (Luma)
  • Assign training, manage learning paths, and ensure completion of required programs
  • Develop training materials, job aids, process guides, and evaluation tools
  • Monitor compliance deadlines and troubleshoot system, access, and training issues
  • Support onboarding and ensure new hires meet all qualification requirements

Manage Employee Qualification and Compliance Tracking

  • Track employee certifications, qualifications, and compliance status across the workforce
  • Validate completion of critical programs (e.g., forklift certification, hostler training, behavior-based safety)
  • Maintain accurate records, including restricted or not-cleared operational statuses
  • Ensure alignment between training completion and operational readiness
  • Proactively identify and resolve gaps in workforce qualification compliance

Drive Safety Reporting and Analytical Excellence

  • Maintain safety databases and reporting infrastructure across multiple data sources
  • Extract, validate, and analyze large datasets to generate actionable insights
  • Produce weekly, monthly, quarterly, and annual safety performance reports
  • Identify trends, compliance risks, and operational improvement opportunities
  • Present insights to leadership in clear, structured, decision-ready formats

Support Injury Management and Incident Response

  • Track workplace injuries and ensure accurate entry into reporting systems
  • Coordinate injury reviews with Safety and Operations leadership
  • Monitor investigation progress and corrective action completion
  • Analyze injury trends and contribute to prevention strategies
  • Ensure data integrity across all incident reporting

Enable Communication, Alignment, and Field Execution

  • Develop and distribute weekly safety updates and reporting summaries
  • Maintain centralized documentation, communications, and training resources
  • Support service centers with compliance questions, documentation, and program execution
  • Participate in safety huddles, leadership calls, and cross-functional initiatives
  • Provide on-call support for compliance-related events, audits, and investigations

What You Bring

  • 2–3+ years of experience in OSHA compliance, safety administration, training coordination, or regulatory environments
  • Associate degree in Occupational Safety, Environmental Health & Safety, Business Administration, HR, or related field preferred
  • Working knowledge of OSHA regulations, recordkeeping requirements, and compliance standards
  • Experience in transportation, logistics, warehousing, manufacturing, or industrial environments preferred
  • Hands-on experience with Learning Management Systems and compliance tracking platforms (Luma preferred)
  • Advanced proficiency in Microsoft Excel, including pivot tables, formulas, dashboards, and data validation
  • Strong analytical capability with experience working across large, multi-source datasets
  • Proven ability to translate complex compliance data into actionable insights for leadership
  • Exceptional attention to detail with a high standard for data integrity and accuracy
  • Ability to manage multiple priorities, deadlines, and cross-functional coordination
  • Willingness to participate in on-call rotations and occasional travel, evenings, or weekends as needed
