Summary

Acting under the direction of the Health Information Management Director, the Outpatient /ED Coding Manager shall be responsible for the Outpatient multi-facility coding and ED/HWI professional and multi-facility coding and charge capture. The position may require local travel to facilities to orient new provider or educate individual providers.

Education

Associates degree required, Bachelor’s degree preferred

Certification, Registration, and Licensure

Required to have one of the following certifications:

RHIA, RHIT, CCS, or CPC

Experience

3-5 Years of hospital Coding experience required

Management experience preferred

Responsibilities

  • Manage internal and contract resources to ensure that DNFB targets are met and maintained.

  • Provide feedback based on audit results to individual providers and/or Provider group Leaders on documentation and charge capture issues and strategies.

  • Identifies documentation gaps and query providers to improve accuracy of documentation and accurate E&M level assignment.

  • Routinely audits cases for each coder/vendor and provides regular feedback on performance.

  • Ensure staff compliance withproductivity standards monthly and address individual performance when standards are not met.

  • Manage denials and appeal timeliness by collaborating across Rev Cycle, Compliance and Clinical teams.   Identifies and implements strategies to prevent denials through education, training and/or root cause analysis. Prepares and submits appeals to overturn denials.

  • External Audit Engagement. Participate in vendor selection, prepare account list for audit, engage with staff to assist with rebuttals, based on Audit Results will develop individualized coding compliance education plan for each Coder, report individual and aggregate results to Director.

  • Engage with staff and other management to provide continuing education through weekly staff meetings, individual and group educations plans and use of all training tools available.

  • Assess the impact of annual Coding and CPT changes on the organization and report to Director. 

  • Manage monthly ED Facility Charge distribution by providing monthly feedback to staff and integrating into staff education/training.

  • Conduct performance reviews with staff.

  • Manage staffing levels by approving time off requests to ensure consistency in scheduling.

  • Approve payroll and ensure time and attendance is correctly reported and in compliance with payroll requirements.

  • Recruits, retains and develops staff and manages performance. Is actively involved in the recruitment of new staff.  Supports retention of staff through regular recognition and fostering personal growth.  Completes 100% of delegated performance evaluations on time.  Ensures that all employees know what is to be accomplished in their jobs.  Provides ongoing performance feedback to staff throughout the year.  Actively participates in the disciplinary action process including terminations.  Standards are measured by feedback from staff, peers and observation

  • ED Physician Coding Compliance On-Boarding by meeting with new ED providers to educate them on documentation compliance.  Documentation and Coding Tips will be provided and reviewed.

  • Manage Hospital Coding Resource Team through mentoring, coaching, and problem solving of coding department issue, multi-specialty department documentation and charge reconciliation issues. Acts as a liaison between revenue cycle and clinical departments.

  • Manage Policy & Procedure/Work Instructions through utilization of the organization policy management application.

  • Participates in HIMS Coding IT Initiatives including advanced technology to improve operational efficiency.

  • Professional Development - Educational requirements to maintain credentials & attend required CH organizational development courses. (Leadership requirements for CH).

  • Professional Development:  maintain professional credentials, use professional and other published resources to keep up with changes in the industry, attend CH organizational development courses.

  • Participates in establishing and monitoring annual department productivity, quality, fiscal and staffing goals. Works with department leadership to operationalize the mission, strategic plan, budgets, resource allocation and policies for the department section. Provides data and support for accurate preparation of the annual operating and capital budgets including staffing, flow and process changes.  Implements staffing plan and oversees staff assignment to support department goals and services. Meets staffing level requirements with minimal use of overtime.  Balances department operational and fiscal needs with staff needs for education and paid time off.
