Job Description

The Paralegal supports Vertex’s legal team across a range of legal and operational activities, including conflict identification, dispute resolution, contract support, and general legal administration. Reporting to in-house counsel, this role operates with a high degree of day-to-day autonomy to triage issues, support legal workflows, and proactively manage risk, while escalating legal risk where appropriate. This position blends operational, transactional, and dispute-related responsibilities. The ideal candidate has a strong litigation background and is detail-oriented, business-minded, and comfortable supporting the resolution of legal issues that arise during the course of Vertex’s projects and engagements.

Core Responsibilities

Litigation & Subpoena Support

  • Assist with coordination and response efforts for subpoenas, document requests, and other third-party demands.
  • Manage document collection, review, and production processes.

Conflict Identification & Resolution

  • Utilize Intapp, Salesforce, and related systems to review new engagements and identify potential legal conflicts or risk issues.
  • Independently triage and resolve routine and mid-level conflicts, escalating complex or high-risk matters to attorneys.
  • Partner with business teams to address and resolve project-related disputes in a practical, business-oriented manner.

Dispute Management

  • Track and manage pre-litigation disputes, claims, and client conflicts across the project lifecycle.
  • Gather and analyze relevant documents (contracts, scopes, correspondence, reports) to assess exposure and support resolution strategies.
  • Maintain organized matter files and ensure timely follow-up and closure.

Contract & Documentation Support

  • Assist with preparation, review, and basic revision of contracts, amendments, NDAs, and other standard legal documents.
  • Coordinate execution and maintenance of legal agreements and ensure proper recordkeeping.

Process Improvement & Risk Mitigation

  • Identify recurring conflict drivers and recommend improvements to intake, project management, and dispute avoidance processes.
  • Support development and refinement of internal playbooks, workflows, and standard operating procedures.

Internal Training & Support

  • Assist in developing and delivering guidance or training to project managers and business teams on dispute avoidance and issue escalation best practices.

Outside Counsel Coordination

  • Coordinate with external counsel on active disputes and litigation matters, including document sharing and matter updates (excluding billing/invoice management).

Qualifications & Competencies

  • Bachelor’s degree and/or Paralegal Certificate.
  • 8+ years of paralegal experience, with a litigation background strongly preferred (subpoenas, discovery, disputes).

Knowledge & Skills

  • Experience working in a mid-sized to large law firm or consulting firm preferred.
  • Familiarity with conflict-checking and matter management systems (e.g., Intapp, Salesforce) strongly preferred.
  • Strong analytical skills with the ability to assess risk from incomplete or evolving fact patterns.
  • Excellent organizational and communication skills; ability to work directly with non-legal stakeholders.
  • Ability to manage multiple matters and deadlines with minimal supervision.
