SummaryThe Paralegal will assist up to four attorneys with real estate transactions and closings, and other organizational and administrative duties.Essential Job FunctionsTransaction & Closing SupportCoordinate all aspects of commercial real estate and finance transactions from inception through closingPrepare and organize closing checklists, timelines, and deal documentationManage execution and distribution of closing documents; oversee post-closing processes and deliverablesDocument Drafting & ReviewDraft and revise loan documents, closing statements, settlement statements, and ancillary real estate documentationPrepare UCC filings (UCC-1, UCC-3), title objection letters, and lender-side due diligence summariesAssist with preparation of loan modifications, extensions, and refinancing documentationDue DiligenceReview title commitments, surveys (ALTA/NSPS), zoning reports, and environmental reportsCoordinate title and survey review with attorneys; track and resolve title objectionsManage corporate documentation and entity due diligence (good standings, organizational documents)Lender Representation SupportWork closely with lender clients, title companies, and outside counsel to facilitate smooth closingsHandle communication across multiple parties, ensuring deadlines and requirements are metTrack funding requirements and assist with closing fund flows (where applicable)Post-Closing & File ManagementAssemble and distribute closing binders (physical and electronic)Ensure proper recording of documents and track receipt of recorded instrumentsMaintain organized electronic files within document management systems (iManage/NetDocuments)Billing & TimekeepingTrack billable time in accordance with firm expectationsAssist attorneys with matter organization to maximize efficiency and billing accuracyNecessary Knowledge, Skills and AbilitiesExcellent interpersonal and organizational skills and the ability to work successfully with multiple team members, interacting with employees at all levels of the organization.Competent to handle a variety of activities with attention to detail and quality, with the ability to follow through and follow up, and adapt to quickly meet changing deadlines and priorities.Advanced proficiency with Microsoft Office Suite applications, including Word, Excel, and Outlook.Ability to complete multiple tasks and a high volume of work on short deadlines and follow through on assigned tasks with limited supervision.Retain a high level of flexibility and resourceful problem solving.
