    We’re looking for a dependable, organized, and people-oriented Part-Time Administrative Assistant to support the day-to-day operations of one of the communities we manage.

    This is an on-site role with a little bit of everything — administrative support, homeowner and vendor interaction, community events, property walks, and helping the onsite team keep things running smoothly.

    The Position

    As a Part-Time Administrative Assistant, you’ll provide direct support to the onsite HOA team and serve as a helpful resource for homeowners, board members, visitors, and vendors.

    This is not a position where you’ll spend the entire shift behind a desk. Along with traditional administrative responsibilities, you’ll assist with community operations, help with events, and periodically walk the property to identify and report maintenance or safety concerns.

    The position is approximately 15–24 hours per week, primarily evenings and weekends, with occasional daytime hours as needed. Shift times will vary based on community needs and scheduled activities.

    What You’ll Do

    • Provide day-to-day administrative support to the onsite HOA team and assist homeowners, board members, visitors, and vendors.
    • Answer calls, assist with general inquiries, and help prepare correspondence, meeting materials, board packets, proposals, and website updates.
    • Manage amenity access and guest passes according to community guidelines, including reviewing and maintaining required documentation.
    • Assist with homeowner architectural requests, vendor bids, and other community-related administrative needs.
    • Support weekly and special community events, including setup, event support, and breakdown as needed.
    • Conduct property inspections approximately every 2–2.5 hours during assigned shifts, identifying and reporting maintenance or safety concerns.

    What We’re Looking For

    • Two to three years of experience in a professional office environment as an Administrative Assistant or in a similar role; an equivalent combination of education and experience may be considered.
    • High school diploma or equivalent.
    • Valid driver’s license and ability to drive as required in connection with assigned job responsibilities.
    • Proficiency with Microsoft Office and standard office technology.
    • Strong organizational skills and attention to detail.
    • Professional and courteous communication skills.
    • Ability to interact effectively with homeowners, board members, vendors, visitors, and coworkers.
    • Ability to work independently, follow established procedures, and appropriately communicate issues requiring follow-up.
    • Comfortable balancing administrative responsibilities with regular activity throughout the property.
    • Dependable and able to work a variable part-time schedule.

    Schedule

    This is a part-time position averaging approximately 15–24 hours per week.

    The schedule will primarily include evenings and weekends, with occasional daytime shifts possible. Specific shift times will vary based on community operations, events, and scheduling needs.

    Work Environment

    This position works onsite at a managed community and includes a combination of administrative office work and activity throughout the property.

    The role routinely uses computers, phones, copiers, and other standard office equipment and requires regular communication with homeowners, visitors, vendors, and staff. The position also involves periodically walking the property, standing, reaching, and moving between areas of the community.

    Use of a personal vehicle may be required in connection with assigned responsibilities.
