HIRING RANGE: $25.21 - $29 per hour

HOURS: Monday through Friday, 9am-1pm

The Administrative Assistant in Public Works Operations performs complex and varied public contact and administrative functions supporting multiple work groups. This position has a strong customer-service focus answering customer calls and generating work orders to ensure high-quality service to Northglenn customers. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. Work is performed under general supervision and requires the exercise of independent judgment and discretion in execution.

Duties and Responsibilities

(Tasks will vary by specific assignment. Any one position may not include all the duties listed nor do the listed examples include all tasks which may be found in positions of this class.)

  • Answer customer calls primarily for trash and recycle but also for permitting, construction meters, and other Public Works requests.
  • Organize, track, and process incoming sanitation service requests.
  • Greet visitors and provide general front-desk support.
  • Perform office receptionist duties and respond to inquiries based on departmental policy.
  • Support department events through administrative coordination.
  • Deliver administrative documents to other facilities.
  • Crosstrain on other administrative duties to ensure coverage across various administrative functions.
  • Provide back-up support to process vehicle registrations.
  • Process purchase orders, invoices, and related documents.
  • Provide back-up support to process various right-of-way, roll-off, and other permits.
  • Provide coverage for other staff during absences.
  • Type correspondence, reports, forms, and other materials from rough drafts or instructions.
  • Receive and process mail; maintain forms and supplies inventory.
  • File documents and retrieve materials as needed.

Education and Experience

  • High school diploma or equivalent.

  • Five years of responsible experience in administrative or clerical work, or any equivalent combination of education and experience.

  • Strong Microsoft Office proficiency including Word and Excel with ability to learn business-specific programs

  • Ability to use phone systems

  • Ability to do various accounts payable and purchasing processes.

  • Strong organizational skills and ability to maintain clerical records

  • Ability to understand and follow complex oral and written instructions

  • Ability to multi-task and complete work with frequent interruptions

  • Excellent communication and customer service skills

  • Ability to work well in a team environment.

  • This is a part-time, non-exempt position.
  • Work is generally sedentary in an office setting
  • Occasional lifting may be required. Examples include moving reams of paper or other office supplies.
  • Must be able to work in a team-oriented environment and handle high-pressure situations.

DESCRIPTION & BENEFITS

Regular Full-Time

Employee works in a position that is classified as 40 hours per week. Eligible for full benefit package including medical, dental, life and LTD insurance; pension and general leave and optional benefits.

Regular Part-Time 30+

Employee works in a position that is classified as 30+ hours per week. City pays contribution toward employee only medical and dental insurance. Employee can pay the difference to cover spouse and/or children. Life & LTD insurance coverage is provided. Employee participates in the Citys pension plan and the City contributes to the plan. Employee accrues general leave on a pro-rated basis and optional benefits.

Regular Part-Time 20+

Employee works in a position that is classified as 20+ hours per week but less than 30 hours. City pays contribution toward employee only medical insurance. Employee accrues general leave on a pro-rated basis and the City pays 3.75% toward deferred compensation and optional benefits.

Employee works is a position that is classified as less than 20 hours per week. Employee accrues general leave on a pro-rated basis and the City pays 3.75% toward deferred compensation.

Part-Time (No Benefits)

Employee works in a position that is classified as a "no benefit" position (i.e., Fitness Instructor, Scorekeeper, Substitute Lifeguard). Employee is not eligible for benefits and pays 7.5% toward deferred compensation.

Seasonal/Temporary
