    Description

    Position Summary
    Our client is seeking a professional and highly organized Temporary Administrative Assistant to provide administrative support to two Vice Presidents and several Directors. This role requires a proactive individual with exceptional organizational skills, the ability to manage multiple priorities, and a high level of professionalism when handling confidential information. The ideal candidate will be detail-oriented, resourceful, and capable of working independently while supporting a fast-paced executive team.
    Key Responsibilities
    • Provide comprehensive administrative support to two Vice Presidents and multiple Directors, ensuring efficient day-to-day operations.
    • Manage complex calendars by scheduling meetings, coordinating appointments, and resolving scheduling conflicts.
    • Coordinate internal and external meetings, including conference room reservations, virtual meeting setup, agendas, and meeting logistics.
    • Prepare, edit, and format correspondence, reports, presentations, spreadsheets, and other business documents.
    • Maintain organized electronic and physical filing systems while ensuring the confidentiality of sensitive business information.
    • Coordinate travel arrangements, including flights, hotels, ground transportation, and itinerary preparation, as needed.
    • Process expense reports and assist with purchase requisitions, invoices, or other administrative documentation.
    • Monitor and prioritize incoming emails, mail, and requests, ensuring timely follow-up and communication.
    • Serve as a liaison between executives, internal departments, and external vendors or business partners.
    • Assist with special projects, event coordination, and departmental initiatives as assigned.
    • Order office supplies and support general office operations to ensure an organized and efficient work environment.
    • Perform general administrative duties including copying, scanning, filing, document preparation, and data entry.
    Qualifications
    • 3+ years of administrative or executive support experience, preferably supporting senior leadership.
    • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
    • Excellent organizational, time management, and multitasking skills.
    • Strong written and verbal communication skills with a professional demeanor.
    • Ability to exercise discretion and maintain confidentiality when handling sensitive information.
    • Highly detail-oriented with excellent problem-solving and follow-through skills.
    • Ability to work independently while effectively managing competing priorities in a fast-paced environment.
    Preferred Qualifications
    • Experience supporting executive-level leadership within a corporate environment.
    • Experience coordinating meetings, travel arrangements, and executive calendars.
    • Familiarity with expense reporting systems and document management software is a plus.
