Administrative Assistant to the Director of Special Services

LOCATION: Office of Special Services - Trenton High School REPORTS TO: Director of Special Services COMPENSATION: The salary range is $21.72 - $25.60 per hour (43 Week Position) 22.5 hours per week; Monday - Friday 4.5 hours per day BENEFITS: Michigan Public School Retirement Plan POSTING DATES: September 16, 2026 - Until Filled

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned

  • Perform a variety of clerical functions and provide support to the Director of Special Services in the daily operations and responsibilities of the program
  • Maintain accurate student records and files, including confidential data (includes special education records)
  • Handle data entry and maintenance of student information within District and special education information systems (e.g. MiSTAR)
  • Prepare accurate and timely documents and reports necessary for local, State and Federal reporting requirements
  • Track deadlines and assist staff in maintaining timely completion of required documentation and processes
  • Assist with purchase orders, invoices, supplies and other departmental business functions
  • Answer telephones, respond to routine questions, and route calls/questions to appropriate individuals
  • Operate office equipment
  • Communicate with students, parents, staff and vendors as required
  • Perform other duties as assigned by the Director of Special Services
  • Regular and predictable attendance EDUCATION AND EXPERIENCE:
  • High school graduate or equivalent
  • At least three (3) years of experience working in a professional office environment preferred
  • Experience with computer programs/applications, such as Microsoft Office, Google Suite, Frontline, MiSTAR and SMART preferred
  • Must be proficient in typing, filing and basic office skills
  • Must be eligible to work in the United States KNOWLEDGE, SKILLS AND ABILITIES:
  • Ability to work well as a team in an office setting
  • Possess strong interpersonal skills
  • Ability to effectively communicate verbally and in writing with a diverse group of internal and external stakeholders
  • Ability to maintain confidentiality
  • Ability to work effectively and accurately under pressure and timelines
  • Skilled in balancing multiple priorities
  • Self-directed and able to carry out duties without direct supervision
  • Strong working knowledge of computers including Microsoft and Google applications

While performing the duties of this job, the employee is frequently required to remain in a stationary position. The person in this position will be required to move about the inside of the building and will be required to open and close filing cabinets, operate office equipment and computers. The person in this position frequently interacts with students, parents, teachers and other administrative staff and must be able to exchange and record accurate information.

The noise level in the work environment is usually quiet to moderate and is frequently busy. The employee is frequently required to interact with students, staff and the public, all of which require courtesy, discretion and sound judgment. A professional appearance and telephone manner is essential. The successful candidate will be able to multi-task and be capable of making independent decisions using sound judgment.
