The Part-Time Donor Data & Development Assistant provides administrative and data-entry support to the Fund Development department, with primary responsibility for accurate and timely processing of donor gifts and maintenance of donor records.
This position serves as the primary gift-entry administrator for the Raiser's Edge donor database and assists with donor acknowledgments, database updates, prospect and grant research, grant-writing support, and other Fund Development activities. The position also provides limited administrative support to Finance related to donor gift records and reconciliation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Donor Gift Processing and Database Management
Serve as the primary Gift Entry Administrator for the Raiser's Edge donor database.
Accurately and timely enter donor gifts, pledges, recurring gifts, and other contributions into Raiser's Edge.
Review gift documentation for accuracy and completeness, including donor information, gift amount, designation, and payment information.
Prepare and generate donor acknowledgment letters and tax receipts.
Maintain accurate donor records, including contact information, giving history, and gift designations.
Review donor records for duplicate entries, missing information, and data inconsistencies and make appropriate updates.
Track gifts and maintain supporting documentation in accordance with established procedures.
Assist with processing and tracking Probate gifts and related documentation.
Assist with gift reconciliation by comparing donor records and reports with Finance records.
Maintain confidentiality of donor and financial information.
Research and Grant Support
Conduct basic research on prospective donors, foundations, corporations, and potential funding opportunities.
Assist with researching grant opportunities and reviewing basic eligibility and application requirements.
Assist with preparing grant applications, letters of inquiry, reports, and supporting documentation.
Gather information and documentation from internal departments to support grant applications and reports.
Maintain organized prospect, funder, and grant research records.
Assist with updating donor, prospect, and corporate contact information.
Administrative Support
Provide general administrative support to the Fund Development team.
Assist with donor mailings, correspondence, reports, and fundraising materials.
Assist with fundraising campaigns, appeals, special events, and other development activities.
Prepare routine reports from Raiser's Edge and other databases as requested.
Provide limited administrative support to Finance related to donor gifts, reports, and reconciliation.
Assist with maintaining files, spreadsheets, and departmental records.
QUALIFICATIONS
High school diploma or equivalent required; associate degree or additional education preferred.
One to two years of administrative, data entry, database, customer service, or related experience preferred.
Experience with data entry and maintaining accurate records.
Experience with Raiser's Edge NXT or a similar donor database preferred.
Experience or familiarity with grant research or grant writing preferred.
Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
Strong attention to detail and commitment to data accuracy.
Strong organizational and time-management skills.
Ability to maintain confidentiality when handling donor and financial information.
Ability to follow established procedures and meet deadlines.
Strong written and verbal communication skills.
Ability to work independently and collaboratively.
ADDITIONAL REQUIREMENTS
Typical work schedule: Tuesday, Wednesday, and Thursday, 18 hours per week.
Valid Connecticut driver's license required.
Must become and remain a registered member of Girl Scouts of the USA.
