General Summary
We are seeking an organized and professional Part-Time Front Office Coordinator to join our team in-office. This hybrid role balances active case support with handling our prospective client pipeline. You will serve as the first impression of our firm, overseeing the front office area, vetting and onboarding new clients, and providing administrative support.

· Proficiency with standard office equipment, including fax, copier, scanner, and postage machine.

Duties and Responsibilities include, but are not limited to:
· Greeting, welcoming, directing, and announcing clients and visitors appropriately
· Oversee the phone system promptly and professionally, screen and forward incoming calls, and provide basic information to the intended party
· Prescreen potential new clients and compile intake information
· Schedule appointments for potential clients, keeping attorneys’ schedules organized and contributing to caseload growth
· Refer cases that do not meet firm criteria to appropriate referral attorneys
· Follow up on unsigned retainer/engagement agreements and consult fees
· Contact vendors and clients as necessary
· Perform data entry and general administrative tasks, such as scanning and filing documents
· Process all incoming and outgoing mail, both electronic and physical
· Opening, maintaining, and closing client/matter physical and electronic files in accordance with office procedures
· Maintain calendars and track to-dos and events, such as court rosters and PNC meetings
· Keep front area and conference rooms tidy and presentable
· Provide support to paralegals and other staff
· Prepare basic legal documents, including but not limited to letters, pleadings, discovery, contracts, and estate documents
· Assist in assembly, proofreading, and electronically filing legal documents through court, state, and county portals
· Coordinate signature pages, organize binders, and track contract milestones
· Other similar clerical office duties, as required
Education / Experience
High school diploma or equivalent required; 1–3 years of experience in a legal office preferred.
Must pass a criminal background check and drug test.
