Headwaters School, a Pre-K through grade 12 independent day school serving over 500 students across its three campuses in Austin, TX, is seeking a part-time Volunteer Coordinator for the 2026-2027 academic year. This position will start June 2026.

The Volunteer Coordinator is a key member of the Advancement Office.This is a hands-on role for someone who loves relationship building and events. You'll work closely with the school’s Parent Volunteer Community to deepen meaningful engagement and execute thoughtful and impactful volunteer opportunities designed to engage volunteers, build relationships, and ensure every detail supports the school’s mission and goals. This role is central to advancing a culture of volunteerism, philanthropy, partnership, and trust between Headwaters School and its community.

 

The right person for this position is someone who is highly organized, relational, thrives in a fast-paced work environment, has independent school experience, and is a team player. You approach conversations about both time and financial support with confidence and ease. You are skilled at building trust with parent leaders, and energized by the mix of relationship-building and operational work. You bring good ideas and strategic thinking, but you're equally committed to rolling up your sleeves and getting things done. The Coordinator will report to the Director of Development, with close collaboration with the Assistant Director of Development and each campus’s academic leadership team.

Candidates will also be prepared to fully participate in the life of the school. Our ideal candidate will have 3+ years of relevant experience. A Bachelor’s degree is required. Part-timeoffice hours are 20 hours per week, Monday through Friday, with occasional evenings and weekends required to support events and advancement activities.

 

Essential Duties:

 

  • Serve as primary liaison to the Parents Volunteer Community (PVC), attending meetings on each campus  and fostering a strong, collaborative partnership.
  • Recruit, train, and support parent volunteers to serve as PVC representatives, Admission Ambassadors, and advocates for the Annual Fund.
  • Oversee volunteer coordination for signature events, including our upcoming 25th Anniversary celebrations, Fall Fest, Open Houses, and Promavera (Fundraising Gala).
  • Support parent and caregiver volunteer leadership, committees, and events.
  • Conduct outreach to new families and emerging prospects to introduce them to the culture of volunteerism and giving at Headwaters School.
  • Provide guidance and support to align the Parent Volunteer Community’s fundraising efforts with institutional priorities and Advancement goals.
  • Maintain a visible, relationship-centered presence within the parent community.
  • Create opportunities for parent and caregiver community building.
  • Strengthen retention through relationship-building initiatives.
  • Partner with Development & Communications on marketing and outreach.
  • Support the overall Advancement efforts of the school as part of the Advancement team.
  • Attend school events, including occasional evenings and weekends.
  • Other duties as assigned by the Director of Development, Senior Director of Finance and Advancement, or Head of School.

 

Skills & Attributes:

  • A commitment to Headwaters’ culture, vision, and mission.
  • Bachelor’s degree, required.
  • At least 2 years of experience working in a nonprofit settings, with demonstrated success in working with volunteers.
  • Excellent organizational, analytical, and project management skills.
  • Strong interpersonal skills and a service-oriented approach to working with volunteers, colleagues and students.
  • Sound judgment, reliability, self-awareness, and a commitment to ethical decision-making.
  • Flexibility to work some evenings and weekends as required, and occasional travel.
  • Excellent written and verbal communication skills, including public speaking.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.
  • Collaborative, adaptable, and proactive, with a desire to improve systems and relationships.
  • Proficiency in Asana, Google Suite, Microsoft Suite, donor database experience a plus.

This is a part-time, 12-month salaried exempt position and compensation is competitive for the greater Austin area.
