Summary/Objective To supply the correct parts needed on time at the best possible price. The Parts Administrator performs responsible work ordering and purchasing automotive parts for a large facility. This individual is responsible for maintaining a parts inventory and all pertinent records. Duties involve working with several mechanics, shop supervisors, and Fleet Manager. The work is performed under the general supervision of the Fleet Manager.

Safety
Assist in ensuring and enforcing safety policies inside the Maintenance Facility Ensure employee, vendor, and visitor compliance with regard to PPE Adhere to the company dress code and policies
Parts Room Management
Keep work orders current parts / Assist with work orders in truck tracker Shipping and Receiving - receive items to be checked in and confirmed complete as well as distributed to correct personnel Follow up on task assignments Ensure availability of parts and supplies for each vehicle/equipment Keep a perpetual inventory Track shipping information on all parts requests Manage all vehicle EZ Pass/Best passes. This includes leased vehicles and owned vehicles. Assist DOT with vehicle registrations as necessary.
Cost/ Quality Control/Inventory
Review, follow, and comply with the parts budget to include accurate inventories submitted to the finance department for reconciliation Assist with establishing a parts budget Seek the best possible costs while ordering parts. Support crews on the road with part requests Establish and maintain vendor relationships and continually search for new vendors and cost-saving opportunities. Communicate directly with the Shop Supervisor and Fleet Manager on repair parts needed Ensure invoices are closed and prepared for Accounts payable in a timely manner Streamline and approve the request, approval, and tracking process of repair parts Uphold purchasing policies and standards.
Required Skills
Considerable knowledge of automotive, Class 8, semi-trucks, trailers, diesel engines, and heavy equipment parts identification. Ability to work independently and use outside resources to find unique parts Ability to establish and maintain effective working relationships with other employees and vendors. Ability to be well organized and maintain inventory of parts Communicate effectively
Work EnvironmentWarehouse and automotive shop. May be exposed to smoke and automotive shop-type chemicals. Ladders and heights may be required.
Physical DemandsCapable of handling hazardous materials, bending crouching, and exposure to the outside elements. Capable of lifting 50 lbs or more.
Expected Hours of WorkThis is a full-time position with usual work hours of 8:00 a.m. to 5:00 p.m. However, nights and weekends and overtime may be required.
TravelSome travel may be required to various locations and other shops
Required Education and Experience
High school diploma or GED and 2 years of related experience in ordering automotive parts; or any equivalent combination of training and experience.
