The Parts Coordinator is responsible for ordering, receiving, and distributing parts to support service technicians and maintain the rental fleet. This position coordinates supplier deliveries, processes shipments and invoices, conducts inventory audits, and communicates daily with technicians to anticipate parts needs while fostering positive supplier relationships.
Essential Functions
- Order parts and distribute materials to service technicians in a timely manner
- Receive, inspect, and process incoming shipments
- Monitor inventory levels to ensure availability for maintaining the rental fleet
- Coordinate with suppliers to ensure deliveries are prompt and on schedule
- Build and maintain positive working relationships with suppliers
- Conduct routine inventory audits to ensure accuracy
- Process invoices and related documentation
- Communicate daily with service technicians to anticipate and support parts requirements
- Prepare and process outgoing shipments as needed

- High school diploma or equivalent
- 1-2 years of experience in parts coordination, inventory management, or a related field preferred but not required
- Ability to work in a warehouse environment
- Strong computer and data entry skills
- Effective time-management and organizational skills
Military service will be considered in lieu of education/certification experience as applicable.Supervisory Responsibilities
Work Environment
- Work is primarily conducted in construction sites, equipment yards, and transportation routes
- Regular exposure to heavy machinery and diesel-powered equipment
- Frequent outdoor work in varying weather conditions including heat, cold, rain, and wind
- Physically demanding environment with uneven terrain, dust, mud, and loud noise levels
- Duties may involve shop-based tasks and fieldwork, including travel to remote job sites
- Strict adherence to safety protocols is required at all times
- PPE such as steel-toe boots, safety glasses, gloves, and hearing protection must be worn as needed
- Must be comfortable working around large equipment, confined spaces, or elevated positions
- Lifting heavy components and materials is often required
- Flexibility and adaptability are essential due to changing job site conditions
Travel Required
- Local vendor pickups for parts
Physical Demands
- Requires a high level of physical stamina and mobility in jobsite and yard environments
- Frequent lifting, carrying, and maneuvering of equipment weighing up to 50 pounds or more
- Regular bending, squatting, kneeling, crouching, and reaching
- Prolonged standing, walking, and working on uneven terrain such as gravel, dirt, or pavement
- Climbing in and out of trucks, trailers, or equipment is required
- Ability to work from heights and maintain balance on steps, ladders, or platforms
- Fine motor skills and manual dexterity required for controls and documentation
- Must safely operate vehicles and remain alert in potentially hazardous conditions
- Occasional pushing, pulling, and positioning of heavy materials
