    Description

    SUMMARY: The primary function of this position is managing the parts requirements and inventory of the Maintenance Department. This includes the management of the company parts and inventory for a 24-hour 7-day a week operation. This position will manage the ordering of maintenance parts, updating descriptions, cycle counts, and determining stock levels while ensuring inventory accuracy in all systems. This position requires professional communication, computer, and presentation skills. This Position represents the company in a positive image with employees, customers and the community always performing in a safe and ethical manner.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

    • Day to day management of the company inventory of equipment parts to ensure the quality and quantity of parts are ordered and received, processed, and properly placed into inventory and then allocated to the proper equipment upon installation.
    • Ensure proper management of technology systems including third party vendors for efficient use to ensure inventory accuracy with the distribution of parts from the maintenance technicians.
    • Responsible for conducting and coordinating studies and reporting to maximize efficiency and utilization of parts within the maintenance department to ensure economical and effective services from within the organization and include outside areas such as vendors.
    • Manage and monitor any equipment and warranty, defects, and recall of parts with maximum credits and reimbursement programs reporting weekly/monthly.
    • Weekly reporting of all parts inventory, PM requirements, shop inspection reviews and needed repairs, P & L items on multiple locations as well as other reports.
    • Train Maintenance and Equipment Coordinators to the efficient use of systems, and parts inventory processes to ensure inventory levels are maintained.
    • Conducts regular cycle counts, reviews, and recommends stock levels to the Director or designee to ensure support for all shifts.
    • Knowledge and ability in inventory management, mechanical processes and repairs.
    • Work with vendors to ensure we are using the most recent technology.
    • Ensure all vendor partners are compliant in the vendor safety policies.
    • Maintain vendor relationships relating to parts and labor pricing based on pre-negotiated rates.
    • Participate and support in the vendor RFQ process as it relates to maintenance department purchases. This includes annual cost analysis with existing vendors.
    • Review, obtain or approve vendor invoices following the prescribed process.
    • In absence of a shift manager, this position will manage Equipment Coordinators parts approval on vendor repairs that have parts over $1,000 on the estimate.
    • Performs maintenance analysis, process improvement, equipment repair planning, and project management activities to optimize maintenance operations. To include review of the inventory on parts with high usage and reduce inventory on slow-moving parts.
    • Cross-train with the Managers to fill in as needed.
    • Uses knowledge of functional areas, organizational structure, and key business drivers to work with management to identify opportunities for metric reporting.
    • Collaborates with team members to collect and analyze data and process information, structuring large data sets to find useful information for reporting within maintenance operations.
    • Follows all workplace processes and standards in support of the ISO-9001 Quality certification program.
    • Ensures all DOT required records are maintained and accessible including eDVIR's, repair documentation, annual inspections, etc.
    • Responsible for the clean and safe upkeep of the parts room to include the floor and counters are free of debris, oil, and grease.
    • Supports the process that all service records for each asset is properly maintained electronically and easily accessible for internal and external audits within compliance guidelines. Scan all invoices upon receipt into the purchase orders.
    • Ensures all required license, forms, packets, and insurance forms are updated in the systems properly.
    • Support department documentation and other forms are completed in compliance with company rules and ISO regulations.
    • Required to attend and complete all company development, safety, and compliance training.
    • Required to adhere to all BLS policies, procedures, DOT, and OSHA safety rules and regulations.
    • Strict adherence to C-TPAT best practices.
    • Follows all workplace processes and standards in support of the ISO-9001:2015, ISO 14001:2015, and OHSAS 45001 Quality certification programs.
    • Other duties as assigned.

    SUPERVISORY RESPONSIBILITIES
    This position will supervise the assigned associates with work prioritization. Responsibilities include: enforcement of Company policies, planning, assigning, and directing work, coaching, performance evaluation, recommending and implementing compensation adjustments, incentives, and associate discipline, resolving associate concerns, employee engagement and problem resolution. This position will assist with interviewing, hiring, safety, training associates, analyzing performance gaps and developing action plans to address performance issues. This position is responsible for maintaining a highly engaging culture, motivating associates, fostering an environment with high levels of teamwork, accountability, communication, and vision to associates.
