We make decisions in a true spirit of collaboration and partnership.Job Summary: The Pathology Coordinator is responsible for keeping the practice's pathology workflow organized, efficient, and moving forward from specimen collection, through final results. The role is the cornerstone of communication and accountability for pathology-related activities across the practice, working closely with Medical Assistants, Pathology team members, the Histology team, outside laboratories, and leadership. Primary location is Lebanon, NH office location but remaining flexible to move around other clinical locations.Primary Duties: Coordinates the day-to-day pathology workflow for dermatology biopsies, surgical specimens, and Mohs cases, including specimens processed in-house and those sent to outside laboratories.Works closely with Medical Assistants and Providers to make sure specimens are properly identified, labeled, documented, stored, submitted, and tracked.Responsible for couriering specimens/samples from Claremont and New London to Lebanon. Coordinates courier service (in house) from Windsor and Derry.Reviews pathology requisitions for accuracy and completeness and work with the appropriate team member to resolve and discrepancies before submission.Serves as the main point of contact for pathology-related questions and workflow between Medical Assistants, Providers, laboratory staff, outside pathology laboratories, and leadership.Responsible for tracking specimens and pathology reports from submission through final results, following up on anything that is missing, delayed, rejected, or incomplete.Coordinates the pathology workflow for Mohs cases, including specimen identification, stage tracking, documentation, and communication with the Mohs surgical team.Keeps pathology records, requisitions, tracking logs, and EMR documentation accurate and up to date.Recognizes and promptly escalates specimen discrepancies, quality concerns, or other pathology issues to the appropriate Medical Assistant, Provider, laboratory staff, or leadership.Help ensure pathology process follows applicable New Hampshire laboratory requirements, CLIA, HIPAA< infection-control standards, and practice policies.Assist with paperwork for CLIA. Monitors pathology turnaround times, maintains necessary supplies, and looks for ways to make the overall flow more efficient.Secondary Duties: Serves as the primary backup to the other pathology team members.Assists the Histology team with administrative tasks such as paperwork, filing, and cataloging.Assists the Clinical team when necessary or requested.Present during Mohs surgery days.Skills: Strong sense of ownership, accountability, and follow-through.Strong organizational and time-management skills with the ability to prioritize multiple tasks in a fast-paced environment.Strong attention to detail and commitment to maintaining accurate patient records and documentation.Proficiency in electronic medical records (EMR), medical documentation, and medical scribing.Knowledge of medical terminology, clinical procedures, infection control practices, and HIPAA regulations.Must be a proactive thinker and action taker.Ability to consistently monitor outstanding items and follow them through to completion.Proactive approach to identifying and resolving issues, delays, and discrepancies.Strong problem-solving and critical-thinking skills.Proficient in the use of computers, tablets (iPad), Microsoft Office applications, and other healthcare technologies.Must exercise constant attention to safety practices as defined by the Safety Program's Bloodborne/Airborne Pathogen requirements.Ability to maintain confidentiality and exercise sound judgment when handling sensitive patient information.Education: High school diploma or equivalent required.Associate degree in healthcare, medical assisting, laboratory science, or related field is preferred.Experience: Minimum of three years of experience in a medical office, physician practice, or healthcare setting preferred.Dermatology experience is required.Experience with EMR systems and electronic charting is required.Physical Requirements: Must be able to balance certain mental and emotional stressors from working in a medical/health care environment.Must be able to lift up to 20 pounds (office equipment, supplies, etc.)Requires long periods of standing/walking/sitting.Requires the ability to reach, stoop, bend, kneel, and crouch.Other:This job description was written for Peraza Dermatology Group for the role of Pathology Coordinator.
