Title: Patient Accounts Coordinator/Healthcare Navigator

Location: Los Angeles, CA 90033

Duration: 6 months with possibility of extension

Schedule: 8:00 AM 5:00 PM Mon-Fri

PR: $30 to $32/hr

Position Summary

The Department of Otolaryngology Head & Neck Surgery (OHNS) is seeking a detail-oriented and organized Healthcare Navigator to provide temporary administrative support to the Healthcare Navigator team. This position plays a vital role in ensuring patients are fully prepared for appointments by coordinating medical records, managing clinical documentation, supporting referral workflows, and maintaining accurate patient information within the electronic medical record (EMR).

The ideal candidate is proactive, highly organized, and comfortable working in a fast-paced healthcare environment while maintaining accuracy and confidentiality.

Key Responsibilities

  • Request and obtain medical records from outside physician offices, hospitals, laboratories, imaging centers, and other healthcare facilities.
  • Receive, process, and upload external radiology imaging and related documentation into the electronic medical record.
  • Create new patient charts in Cerner and accurately populate records with outside clinical documentation.
  • Monitor inbound referrals and identify urgent cases for timely escalation to Healthcare Navigators.
  • Manage shared email inboxes and electronic fax queues by reviewing, routing, and uploading incoming documents.
  • Send new patient registration forms and appointment-related information via email.
  • Assist Healthcare Navigators with chart preparation by ensuring all required medical records, referrals, authorizations, insurance documentation, and physician orders are complete before patient appointments.
  • Maintain accurate and organized patient records while adhering to HIPAA and organizational confidentiality standards.
  • Communicate effectively with internal departments, provider offices, patients, and external healthcare organizations to facilitate timely coordination of care.
  • Perform additional administrative and operational duties as assigned to support departmental workflow and patient readiness.

Minimum Qualifications

  • High School Diploma or equivalent required.
  • Bachelor's degree preferred.
  • Previous healthcare administrative, medical office, or back-office experience preferred.
  • Experience working with electronic medical record (EMR) systems; Cerner experience is highly desirable.
  • Experience handling medical records, referrals, scheduling support, or clinical documentation preferred.

Technical Skills

Proficiency with:

  • Microsoft Outlook, Teams, Word, and Excel.
  • Electronic Medical Record (EMR) systems, preferably Cerner.
  • Electronic fax platforms.
  • Uploading, downloading, scanning, organizing, and converting electronic documents (PDF, Word, image files, and scanned records).
  • General office technology and document management systems.
