Patient Intake Specialist

Pay: $21.00-$24.00 per hour

Reports To: PFS & Coding Manager

What You'll Do

As a Patient Intake Specialist, you'll be part of a fully cross‑trained front‑end team that supports medical, dental, and medical records operations. You'll help patients feel welcomed, gather accurate information, maintain complete records, and keep clinic workflows running smoothly across multiple locations.

Front Desk & Intake

  • Welcome patients and guide them through the check‑in process.
  • Interview patients to collect demographic and insurance information.
  • Enter and update patient information in the EHR accurately and promptly.
  • Verify insurance coverage and document benefit details.
  • Explain clinic policies, payment expectations, and hours.
  • Schedule, confirm, and reschedule appointments.
  • Monitor cancellations/no‑shows and assist with reassignment.
  • Answer incoming calls, take messages, and contact patients for sooner appointments.
  • Process patient payments and follow financial documentation procedures.

Medical Records

  • Compile, verify, and upload medical records in compliance with HIPAA.
  • Prepare, maintain, and review patient records for completeness.
  • Scan and upload documents into designated EHR areas.
  • Manage medical records fax lines and queues.
  • Locate and deliver records requested by clinic departments.
  • Respond to record requests from outside offices, patients, and insurance entities.
  • Post lab results, dictation, reports, and correspondence after provider review.
  • Sort incoming mail and assist with patient reassignment.

Cross‑Training & Float Support

  • Provide float coverage across medical intake, dental intake, front desk, and medical records.
  • Support a cohesive, cross‑trained team across all clinic sites.
  • Perform other duties as assigned.

What You'll Bring

  • A high school diploma or GED; or 1-3 months related experience/training; or an equivalent combination of education and experience.
  • Experience in a medical or dental front office or medical records environment preferred.
  • Bilingual (Spanish) strongly preferred.
  • CPR/First Aid/BLS certification preferred.
  • Clear, professional communication skills - in person and by phone.
  • Ability to follow instructions, apply policies, and handle routine problems with professionalism.
  • Strong attention to detail and comfort using modern office equipment and EHR systems.
  • A welcoming, customer‑service‑focused approach with patients, providers, and coworkers.
  • Ability to maintain confidentiality and comply with HIPAA requirements.

Physical Requirements

This role requires regular walking, talking, bending, lifting, carrying, writing, and hearing. Frequent standing, sitting, and use of hands for typing and handling materials.
