Job Summary:

Facilitates and manages provider schedules to maximize customer service, patient access, provider productivity, and overall business operations. Completes the pre-registration process, including using practice management software to capture accurate patient demographics. Makes referrals for financial counseling and/or physician referrals, authorizations, or certifications. Serves as the lead scheduler for the department.

High school diploma/GED and one (1) year of patient scheduling experience.

Knowledge of office procedures. Verbal and written communication skills. Interpersonal skills. Skill in the use of computers and relevant software applications. Ability to work in a team environment.

Responsibilities

  • Trains and mentor patient schedulers using basic competency training modules.
  • Serves as lead scheduler; coaches, trains, and educates other staff members as required. Assists with the hiring process as needed.
  • Maintains current knowledge of patient scheduling software, policies, and procedures for pre-registration, registration, and scheduling patient appointments.
  • Pre-registers all new patients, scheduling appointments and/or procedures with 95% accuracy.
  • Obtains demographic data for the referring physician when a patient is scheduled, including the reason for the visit, and documents it.
  • Confers with patients' insurance companies to verify resources, insurance or federal programs of eligibility, and benefits prior to patient arrival, maintaining 95% accuracy. Updates referrals and approvals before patients' subsequent visits.
  • Utilizes access to resource guidelines and scheduling protocols to determine the need for financial counseling.
  • Identifies strategies to improve the operational efficiency of the scheduling process. Continues ongoing education and training to stay current on pre-registration processes, registration, business operations, and payor contract interpretation skills.
