Monitor, track, and process employee leaves, including FMLA, maternity, parental, administrative, military, special, personal, paid, and unpaid leaves.
Process leave requests in accordance with applicable state and local requirements, including the Chicago Paid Time Off Ordinance.
Maintain accurate documentation and employee leave records.
Collaborate with Leave Management, Human Resources, Benefits, Employee Services, HRIS, and other departments to ensure accurate leave administration.
Update leave records resulting from promotions, transfers, new hires, PTO adjustments, leave-bank grants, and other employee changes.
Review and verify payroll transactions and related leave records for accuracy and completeness.
Prepare and review reports related to leave usage and payroll adjustments.
Enter leave information into time-and-attendance systems as necessary.
Calculate leave usage, payroll adjustments, deductions, and payments.
Research confidential employee records and resolve discrepancies involving leave balances or usage.
Prepare employee communications, correspondence, and reports related to leave requests.
Respond to employee and department questions regarding leave administration.
Support payroll projects and administrative assignments as needed.
Qualifications
Associate's degree from an accredited college or university, preferably in Accounting, Finance, Business Administration, or a related field.
At least 3 years of experience in payroll, accounting, or auditing.
An equivalent combination of education and experience may be considered.
Knowledge of payroll processing and employee leave administration.
Strong knowledge of applicable leave requirements, including FMLA, ADA, state, and local leave mandates.
Experience with PeopleSoft HCM, WorkForce, or similar payroll/timekeeping systems preferred.
Payroll certification such as FPC or CPP preferred.
Strong verbal and written communication skills.
Excellent organizational and attention-to-detail skills.
Ability to manage multiple priorities and meet deadlines.
Ability to maintain confidentiality and appropriately handle sensitive employee and payroll information.
Ability to work independently and collaboratively.
Proficiency with Microsoft Office 365, including Excel, Word, PowerPoint, and Outlook.
