JOB SUMMARY:

The Payroll and Leave Administrator will be responsible for end-to-end payroll processing, ensuring pay is processed on time, accurately, and in compliance with government regulations. This role will also be responsible for the administration of leaves of absence, including Family and Medical Leave Act (FMLA), Minnesota Paid Family and Medical Leave (PFML), Earned Sick and Safe Time (ESST), short-term disability (STD), and any other state, federal, or company leaves of absence.

ESSENTIAL DUTIES & RESPONSIBILITIES include the following. Other duties may be assigned:

  • Ensure accurate and timely processing of company payroll transactions, including salaries, benefits, taxes, garnishments, and other deductions.
  • Responsible for knowing and ensuring compliance with federal, state, and local payroll, wage, and hour laws, following best practices.
  • Prepare and maintain accurate records and reports of payroll transactions.
  • Audit, review, and reconcile time and attendance data prior to payroll processing.
  • Identify and recommend system, process, and procedural improvements.
  • Provide necessary information and documentation for company audits.
  • Prepare and submit payroll tax filings, year-end processing (W-2s), responses to tax notices, and other necessary reports.
  • Responsible for administering the retirement plan including eligibility, calculations, allocations, and payroll deductions.
  • Administer Paid Time Off (PTO) allocations, accruals, and deductions.
  • Determine employee eligibility and process various leaves of absence (e.g. FMLA, PFML, STD, ESST, military, etc.), ensuring compliance with state and federal law.
  • Serve as the primary point-of-contact for leave requests, communicating directly with employees, supervisors, Human Resources Business Partners, and third-party administrators (TPAs).
  • Track leave timelines, calculate associated pay, and coordinate with TPAs for claims.
  • Audit and track leave accruals and balances.
  • Comply with all company safety policies and procedures.

QUALIFICATIONS:

  • Extensive knowledge in the payroll function including preparation, balancing, internal control, and payroll taxes.
  • Excellent computer skills in a Microsoft Windows environment. Must include Excel and demonstrated skills in database management and record keeping.
  • Effective oral and written communication.
  • Evidence of the practice of a high level of confidentiality.
  • Excellent organizational, time management and attention to detail skills.
  • Strong analytical and problem-solving skills.
  • Proficient with payroll software.

EDUCATION AND/OR EXPERIENCE:

  • Bachelor's degree in Accounting, Human Resources, Business Administration or related field strongly preferred.
  • Certified Payroll Professional (CPP) credential preferred. Must be willing to obtain.
  • Experience with UKG Ready is a plus.
  • Five years of payroll processing experience.
  • Three years of leave administration experience.
