Overview:

The Payroll Assistant supports accurate and timely bi-weekly and semi-monthly payroll processing and acts as a first-line resource for employee inquiries. The role maintains employee master data, assists with earnings and deduction imports, manages routine wage garnishments, and prepares post-payroll reporting and funding packages. This position operates with a high degree of confidentiality, attention to detail, and service orientation within established procedures and deadlines.

Responsibilities:

Employee Support & Communication

  • Monitor and triage the Payroll shared inbox; respond to employee and department inquiries and route/escalate items per established SLAs.
  • Answer the Payroll phone line; research and resolve routine issues; gather additional information from employees as needed to close tickets.

Payroll Processing

  • Assist with end-to-end payroll cycles (bi-weekly and semi-monthly) by preparing and validating import files for earnings, deductions, and adjustments.
  • Maintain employee master data, including tax withholding updates and direct deposit changes; research and resolve NACHA NOC items within deadlines and policy.
  • Perform basic reviews of exception/variance reports and help resolve discrepancies prior to payroll confirmation.
  • Ensure all updates adhere to corporate policy and applicable federal, state, and local regulations.

Deductions & Compliance

  • Manage routine processing and maintenance of wage garnishments (child support, levies, and other court-ordered deductions), ensuring accuracy and timely remittance; escalate complex cases to the Payroll Manager.
  • Set up and maintain payroll-related deductions (e.g., union dues and union-related deductions, uniforms, luggage, equipment purchases), verifying proper calculation and balancing each cycle.

Reporting, Funding & Reconciliation

  • Assist in preparing funding packages for payroll, garnishments, and other deduction remittances each cycle.
  • Complete recurring post-payroll reports for internal and external stakeholders (e.g., Pass Bureau,
  • unions) and maintain supporting documentation.
  • Track unclaimed property related to payroll activity and report to Accounting monthly for close.

 

Audits & Internal Controls

  • Assist with audit requests (internal, external, compliance/union) by compiling documentation and responding to information requests.
  • Maintain orderly, accurate records to support internal controls, retention standards, and department procedures.

Records & Administrative Support

  • Serve as the department Records Liaison for records retention activities; coordinate periodic file transfers to off-site storage (e.g., Iron Mountain) in accordance with policy.
  • Support ad hoc projects, process documentation updates, and cross-training as assigned.

Qualifications:
  • Education: High School Diploma or GED required; Associate’s degree or higher preferred.
  • Experience: 1–3 years of payroll or HR operations experience preferred (union environment experience a plus).
  • Technical: Proficiency with Microsoft Excel, Outlook, and Word; experience with common payroll/HRIS platforms (e.g., ADP, UKG, Workday, PeopleSoft) preferred.
  • Knowledge: Basic understanding of payroll fundamentals (tax withholding, direct deposit, NACHA NOC handling, wage garnishments) and related regulations.
  • Skills: Strong analytical, organizational, interpersonal, written and verbal communication skills; reliable, self‑motivated, and positive attitude.
Work Environment & Physical Demands:
  • Work is performed primarily at a computer in a typical office environment under critical deadlines; may involve extended periods of sitting.
  • Role requires occasional physical exertion (pulling, pushing, reaching, bending, standing, walking) and light lifting of boxes, bags, and files up to 30 lbs.
  • Non-exempt, full-time (40 hours/week); overtime may be required to meet payroll deadlines and during period-end activities.

FLSA Status: Hourly Minimum Position Pay Range: USD $22.30/Hr. Maximum Position Pay Range: USD $24.65/Hr.
