Position Overview
The Payroll & Timekeeping Coordinator is responsible for administering all functions of the time and attendance payroll system for a unionized workforce. This role ensures accurate payroll processing through the reconciliation of employee hours, incentive pay, and production data. The position partners closely with Human Resources and Operations to ensure payroll activities comply with union agreements, company policies, and benefit practices.
Key Responsibilities
  • Manage daily payroll operations within ADP eTime, including reviewing, updating, and resolving timecard exceptions.
  • Collaborate with supervisors and production employees to verify employee hours, production data, and incentive pay for payroll accuracy.
  • Reconcile daily payroll and production reports to ensure alignment between timekeeping and manufacturing systems.
  • Enter, maintain, and validate production data within payroll and manufacturing systems.
  • Prepare shift summaries and maintain spreadsheets to support operational planning and reporting.
  • Process payroll adjustments using approved documentation and maintain supporting records.
  • Investigate and resolve payroll discrepancies and respond to employee inquiries regarding pay, timecards, and adjustments.
  • Partner with Human Resources to ensure payroll processing complies with union agreements, benefits practices, and company policies.
  • Track, reconcile, and process union dues payments accurately and timely.
  • Conduct payroll audits to ensure accuracy, compliance, and data integrity.
  • Support continuous improvement initiatives to enhance payroll and operational efficiency.
  • Train and assist team members on payroll procedures and system functionality.
  • Generate and distribute payroll, production, and operational reports as needed.
  • Maintain accurate documentation of payroll processes and records.
  • Perform additional administrative duties, including label printing, record maintenance, and other assigned tasks.
  • Assist with basic accounting and clerical responsibilities as needed.
Qualifications
Required
  • Minimum of 1 year of experience using ADP eTime or a similar payroll/timekeeping system.
  • Minimum of 1 year of experience supporting payroll processes in a union environment.
  • Advanced proficiency with Microsoft Excel, including data tracking, reconciliation, and reporting.
  • Strong attention to detail and accuracy in payroll administration and data management.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong analytical and problem-solving skills with the ability to independently resolve discrepancies.
  • Excellent written and verbal communication skills with employees, supervisors, and cross-functional teams.
  • High School Diploma or equivalent.
Preferred
  • Experience working in a manufacturing environment.
  • Exposure to SAP or other enterprise resource planning (ERP) systems.
  • Coursework in Accounting, Business Administration, or a related field.
