Our client is seeking an experienced Payroll Compliance Specialist to oversee payroll processing and compliance for a large, multi-site workforce. This role is responsible for ensuring accurate and timely bi-weekly payroll while maintaining compliance with federal, state, and local regulations. Process full-cycle bi-weekly payroll for more than 1,700 employees across multiple locations.
The Payroll Specialist will reconcile payroll registers, reports, and system data to ensure accuracy and completeness.
Process new hires, terminations, promotions, transfers, and pay rate changes.
Maintain employee payroll records, including tax forms, direct deposit information, and pay card setup.
The Payroll Compliance Specialist will calculate and process payroll deductions, garnishments, retirement contributions, and benefit withholdings.
Respond to employee payroll inquiries regarding pay, deductions, direct deposits, and payroll-related questions.
Maintain strict confidentiality of payroll and employee information.
Ensure compliance with FLSA and all applicable federal, state, and local payroll regulations.
Prepare and manage payroll compliance reporting, including:
W-2 reporting
ACA reporting (Forms 1094 & 1095)
State unemployment (SUTA) filings
New hire reporting
Support year-end payroll reconciliation, including earnings, deductions, accruals, and tax reporting.
Assist with internal and external payroll audits.
The Payroll Specialist will coordinate Workers' Compensation claims and support audit requests.
Process employment verifications in accordance with company policies and legal requirements.
Collaborate with Payroll, Human Resources, Accounting, and Operations to ensure accurate employee data and payroll processing.
Maintain electronic personnel records and ensure payroll changes are processed accurately.
Coordinate payroll system setup for new locations with the payroll provider.
Partner with Accounting to reconcile benefit invoices and payroll-related accounts.
Identify opportunities to improve payroll processes, compliance, and operational efficiency.
3+ years of payroll processing experience; experience supporting a large, multi-site workforce is strongly preferred.
Experience with Paycom is highly preferred.
Strong knowledge of payroll compliance, wage and hour laws, payroll tax reporting, and payroll best practices.
Human Resources experience is a plus.
Associate's degree required; Bachelor's degree preferred.
Proficiency in Microsoft Excel and Microsoft Office Suite.
Excellent attention to detail, organizational skills, and problem-solving abilities.
Ability to manage confidential information with professionalism and discretion.
