Position Summary:
Payroll preparation and compliant processing of all payrolls within University Health System and The University of Tennessee System (UT Leased). Provide support to the organization while working closely with the Payroll Manager, all HR teams and Controller's office. This position performs duties in the payroll process, payroll law compliance, internal customer service, payroll accounting to the general ledger, payroll reporting and time off accruals. This position must demonstrate a high level of professionalism and discretion while ensuring all team members are paid accurately and on time.
Demonstrates complete knowledge of payroll processes for all Human Resource Information Systems
Processes accurately payrolls including UHS biweekly, monthly, and monthly supplemental; and UT leased biweekly and monthly with minimal errors
Makes recommendations regarding the processing of payroll which will increase efficiency and accuracy
Assists in training existing and new team members regarding the systems or other processes in the department
Educates managers and department timekeepers in the usage of Workforce Management (WFM)
Completes in compliance with time constraints set by UHS/UTK
Coordinates Workforce Central changes that include adding new team members, making changes to existing team members, terminations, and any other maintenance to system
Follows procedures and ensures that team members are added and changed in a timely and accurate manner.
Controls process of completing pay adjustments from previous pay periods for UT Leased and UHS team members
Ensures adjustment forms are correct and within correct pay period.
Deals with situations immediately with no justified team member complaints.
Communicates with timekeepers when a mistake is discovered to ensure correction.
Upon notification by department of a team member being underpaid, investigates the situation, and determines if they have been. If an underpayment has occurred, computes the petty cash advance for team member and has Payroll Generalist write the check from UHS Petty Cash Fund
Ensures that team member is due the advance, confirms and signs the check.
Completes in compliance with rules set by UHS Controller's Office
Identifies and records pay adjustments necessary from prior pay periods and processes necessary forms to include on the next payroll. Enters the adjustments into LAWSON; verifying the entries using PR135. Enters the adjustments into SAP; verifying the entries using simulations
Completes adjustment form correctly and within the current pay period
Monitors adjustments and communicates to Payroll Manager any unusual trends or patterns
Processes sick, extended sick, annual and PTO adjustments for all team members utilizing appropriate systems
Prepares the federal and applicable state and local payroll tax files, balances to the PR294 and forwards to Controller at the end of each quarter and at year end.
Completes special assignments as requested
Completes multiple WFC audits prior to each biweekly payroll to ensure policies are followed i.e. UHS team members use 16.0 hrs. PTO before Extended Sick Leave, bereavement leave is used in correct amount and relationship of deceased is verified and military leave should be paid if it is included. Ensures that UHS team members do not have any hours coded to UT Leased codes i.e. annual, holiday, personal leave
Ensures compliance 100% of the time.
Completes in compliance with time constraints set by UHS
Create the Check Exception Listing for each payroll processed. When necessary; assists with separating Lawson and SAP related payroll materials to go to departments
Ensures all Check Exception Listings are 100% accurate.
Ensures payroll related materials are sent to the correct department 100% of the time.
Coordinates payroll activities, supervises auditing of computer input for correct processing
Ensures errors are detected and corrected in a timely manner.
Complete in compliance with time constraints set by UTK.
Audits Personnel Action Forms upon receipt from Human Resources
Ensures Personnel Action Forms are processed according to UHS/UTK Policy and Procedure.
Delegates, distributes, and reviews work assignments
Position Qualification:
Bachelor's degree (BA/BS) from a four-year college or university; or one to two years related experience and/or training.
