    Title: Payroll Coordinator

    Qualifications:

    1. Bachelor's degree or higher
    2. A minimum of five (5) years' successful payroll experience, preferably in an Illinois public school setting
    3. Extensive experience with payroll and accounting software, preferably Tyler Technology's School ERP Pro (Infinite Visions)
    4. Highly skilled and accurate in calculations involved in payroll preparation, with a strong math aptitude
    5. Proficiency with the Microsoft Office suite and Google Workspace, with a strong knowledge of Microsoft Excel preferred
    6. Knowledge of the Illinois Teachers' Retirement System (TRS) and Illinois Municipal Retirement Fund (IMRF)
    7. Excellent customer service, organization, prioritization, analytical, and interpersonal skills
    8. Sound judgment, a high level of trustworthiness, and respect for confidentiality
    9. Ability to work quickly and accurately in a deadline-driven environment with frequent interruptions
    10. Willingness to learn and implement new technologies, procedures, and processes
    11. Ability to work independently with minimal supervision
    12. Ability and willingness to work overtime during high needs times of the year as directed

    Reports To: Chief Operating Officer (CSBO) or designee

    Supervises: Payroll staff

    Position Summary: The Payroll Coordinator oversees and performs District payroll responsibilities promptly, accurately, and efficiently in accordance with applicable laws and District policies, procedures, and schedules with minimal supervision.

    Key Responsibilities:

    1. Plans, directs, and processes all semi-monthly and special payroll runs.
    2. Ensures all salary/wage schedules, pay rates, and other compensation structures are entered accurately, and all employees are paid in accordance with the District's payroll schedule, collective bargaining agreement timelines, Board of Education policy, and applicable laws and regulations.
    3. Serves as the primary liaison with the Human Resources Department to ensure employee information (demographic information, work location, authorized position(s), etc.) in the payroll system is accurate.

    Job Duties:

    Payroll Coordination A. Reviews and inputs large quantities of data, including electronic and paper-based timesheets, other payment authorization documents, wage computations, and other information, to ensure prompt payment. B. Obtains relevant information and approvals to ensure the timely and accurate processing of employees' paychecks.

    C. Performs calculations and adjusts payroll processing for employees whose paid time off has been exhausted or in other specialized circumstances to ensure employees are not overpaid. D. Assists with the tracking of long-term substitute rates and compensation. E. Enters and maintains employee payroll deductions for withholding, pension contributions, Social Security, Medicare, insurance, 403(b)(7) and 457(b) contributions, garnishments, union dues, and other deductions. F. Assists with the calculation of retirement incentives. G. Maintains payroll system tax tables and rate changes for Social Security, Medicare, TRS, and IMRF tables and ensures compliance with all tax requirements. H. Prepares and assists with the filing of TRS, IMRF, Employee Information System (EIS), and other required reports. I. Completes year-end and fiscal year-end payroll processes. J. Submits payments and files various tax Federal and State payroll withholding reports. K. Develops and maintains knowledge of the District's account coding structure and assists with ensuring employees are paid using the appropriate accounts. L. Coordinates with the Accounting Department to ensure adequate funds are available to cover payroll disbursements. M. Assists administration in providing and analyzing payroll data for a variety of regulatory, legal, and other purposes. N. Responds to payroll-related requests and inquiries from District employees and outside agencies. O. Serves as the initial point of contact for District employees with questions, concerns, or disputes regarding their pay. P. Engages in problem solving by analyzing situations and developing and communicating effective solutions both verbally and in writing. Q. Follows complex oral and written instructions. R. Detects payroll discrepancies and brings them to Administration for review, as needed.

    Other Responsibilities A. Assists with the development of, monitors, and complies with the department budget. B. Assists with the development of department procedures and makes recommendations regarding District policies and negotiated agreements. C. Implements the District's supervision and evaluation program for all designated staff. D. Builds relationships with all staff members, promotes a team-oriented environment, and maintains high standards of accountability. E. Develops and maintains successful, cooperative relationships with union leadership and the general public. F. Participates in professional growth opportunities (e.g., attends regional, state, and national professional conferences, reads professional publications, etc.). G. Models the attributes of an effective District leader, including demonstrating ethical actions, positive demeanor, collaborative working relationships, and a connection to community agencies that support schools. H. Maintains confidentiality and exercises sound professional judgment in all aspects of work. I. Performs all other duties necessary to the position and such other duties as assigned.

    Terms of Employment: Compensation, benefits, and contract terms as established by the Board of Education

    Evaluation: Performance will be evaluated by the Chief Operating Officer (CSBO) or designee in accordance with the District's evaluation procedures

    Pension System: Illinois Municipal Retirement Fund (IMRF)

    FLSA Status: Non-Exempt
