Payroll & Human Resources Administrator

The Payroll & Human Resources Manager collaborates directly with the Chief Financial Officer (CFO) to conduct all payroll and human resource functions for a multi-location organization, ensuring operations are compliant, efficient, and aligned with organizational goals. This position plays a key role in the organization’s human capital management strategy by leading core Payroll and HR functions.

This full-time role is ideal for an experienced Payroll/HR professional who can work independently, prioritize effectively, and brings both strategic insight and operational execution.

Payroll

  • Conducts all aspects of bi-weekly payroll process with oversight and input from the CFO, including onboarding employees into HRIS system, collecting and reviewing timesheets, importing hours, reviewing overtime, updating benefits deductions, managing taxation on pre-tax deductions, and verifying payrolls for all salaried and hourly employees.
  • Manage tax filings with outside tax service.
  • Coordinates with Controller to post payroll journal entry in accounting software.
  • Maintains timekeeping system with accurate organization codes and pay rates.
  • Prepare payroll reports as needed for audits and management.
  • Research, analyze, and help resolve payroll discrepancies.
  • Ensure proper use and protection of information assets by complying with the organization’s information privacy and security policies to protect assets from unauthorized access.

 

HRIS

  • Maintains the human resource information system, ensuring proper administration of all employee records.

 

Benefits

  • Collaborate with CFO on annual review and selection of benefit programs.
  • Manage benefit administration including open enrollment, plan renewals, vendor management, and invoices.
  • Support employees in understanding and navigating benefit offerings.
  • Conduct benefits testing as required, including 401k and cafeteria plan non-discrimination testing.
  • Coordinate and participate in all audits of benefits and annual form 5500 preparation and filing.
  • Administer workers’ compensation, unemployment, and COBRA programs.
  • Coordinate all other employee benefit workflows as needed.

 

Recruiting & Onboarding

  • Manage recruitment and selection process for the Headquarters’ (HQ) employees.
  • Maintain job descriptions for HQ employees.
  • Coordinate onboarding of new HQ employees, including background checks, reference checks, documentation, and new hire orientation.,
  • Coordinate new hire access to technology, including computer assignment, email enrollment, and other system access as required.

 

Employee Relations

  • Support employee relations by responding to HR-related questions and helping to resolve workplace concerns.
  • Be a resource for current employees on organizational policies and procedures.
  • Provide guidance to employees and managers on employee performance, discipline, supervision, and complaints.

 

General

  • Ensure compliance with federal, state, and local payroll, wage and hour laws and best practices.
  • Support compensation analysis and salary benchmarking.
  • Maintain accurate and confidential personnel records.
  • Maintain organization charts and contact list.

 

Qualifications

 

This is a full-time salaried position, but the schedule may vary during peak periods such as the start of the summer camp season. 

  • Associate or bachelor’s degree in human resources, business administration, or related field preferred.
  • Minimum of 5 years of payroll and human resources experience.
  • Working knowledge of multi-state employment laws and HR compliance requirements
  • Strong organizational, communication, and confidentiality skills.
  • Proven ability to build strong relationships and work effectively with all levels of employees.
  • Ability to work independently and manage priorities within weekly hours.
  • Demonstrated proficiency with UKG HRIS system preferred, or other HRIS systems.
