Payroll & Human Resources Coordinator
Overview
Our company is seeking an organized and detail-oriented Payroll & Human Resources Coordinator. This position is responsible for processing weekly in-house payroll for office and field employees, managing certified payroll requirements, coordinating employee onboarding and human resources administration, and providing general office support.
The ideal candidate is dependable, highly organized, and able to manage confidential information and recurring deadlines in a fast-paced construction environment.
Responsibilities
Payroll and Certified Payroll
Process weekly in-house payroll for all office and field employees.
Review timecards, pay rates, job numbers, cost codes, overtime, deductions, reimbursements, and PTO for accuracy.
Coordinate with project managers and superintendents to resolve missing or incorrect payroll information.
Maintain payroll records, including new hires, terminations, wage changes, deductions, direct deposit, and employee allowances.
Prepare and submit certified payroll reports for public and prevailing-wage projects.
Verify employee classifications, prevailing-wage rates, fringe benefits, overtime, and project assignments.
Pay and track federal, state, and local payroll taxes, including timely tax deposits and quarterly and year-end reconciliation for tax filings.
Maintain current wage determinations and submit reports through LCPtracker and other agency-specific systems.
Assist with payroll audits, discrepancies, year-end reporting, and requests for supporting documentation.
Respond to employee questions regarding payroll, deductions, and PTO.
Human Resources
Manage employee onboarding, including new-hire paperwork, I-9 documentation, payroll and benefit setup, orientation, and required company forms.
Coordinate technology and equipment needs for new hires and departing employees with management, the Purchasing Coordinator, and the company's IT provider.
Maintain accurate and confidential personnel files, employee records, company-property assignments, and organizational information.
Administer benefit enrollments, changes, and terminations, including health insurance and 401(k).
Track PTO, benefit eligibility, attendance, performance reviews, and other employee-related deadlines.
Maintain employee training and certification records, including OSHA, SWAC, safety training, professional licenses, and project-specific credentials; monitor expirations and coordinate renewals.
Support recruiting by posting approved openings, reviewing applications, conducting initial screenings, scheduling interviews, communicating with candidates, and preparing offer and onboarding documents.
Coordinate employee offboarding, including final payroll, benefits, company property, system-access notifications, and required documentation.
Assist with workers' compensation documentation, employment verifications, unemployment claims, employee changes, and other HR reporting.
Support management with employee communications, policies, performance reviews, corrective-action documentation, and other HR matters.
Administrative Support
Provide general administrative and office support as needed.
Coordinate employee birthdays, company lunches, meetings, training sessions, celebrations, and other company events.
Prepare employee announcements and company-wide communications.
Maintain office calendars, employee contact lists, organizational charts, and shared administrative information.
Assist with correspondence, document preparation, filing, scheduling, and special projects.
Coordinate with other administrative staff and provide backup office coverage when needed.

Qualifications
Five or more years of payroll, human resources, or related administrative experience.
Experience independently processing payroll is required.
Construction payroll and certified payroll experience are strongly preferred.
Familiarity with prevailing-wage requirements, LCPtracker, and public construction projects is preferred.
Experience with Spectrum, PTE, or similar payroll and accounting software is a plus.
Strong Microsoft Excel, organizational, communication, and time-management skills.
Excellent attention to detail and the ability to meet recurring deadlines.
Ability to handle payroll and employee information with confidentiality and professionalism.
