JOB OVERVIEW
We are seeking a highly organized and experienced Payroll Manager to lead and manage payroll operations across two states. This role is responsible for supervising payroll staff, ensuring accurate and timely payroll processing, maintaining compliance with federal and state regulations, and driving continuous improvement in payroll systems and procedures.
EXPERIENCE STATEMENT
We recognize that payroll leaders come from a variety of backgrounds. Candidates with experience in accounting, tax, finance, human resources, or other compliance-focused functions who possess strong leadership, analytical, and communication skills are encouraged to apply. Training will be provided to develop payroll-specific expertise.
ROLE + RESPONSIBILITIES (includes but not limited to)
- Supervise and mentor payroll staff, providing guidance, training, and performance feedback
- Oversee weekly and/or bi-weekly payroll processing for employees in two states, ensuring accuracy and timeliness
- Serve as backup for payroll functions and ensure effective cross-training for ongoing coverage
- Ensure compliance with federal, state, and local payroll laws and regulations, including tax filings and wage reporting
- Collaborate with HR to ensure accurate employee data and benefit deductions
- Resolve payroll discrepancies and respond to employee inquiries in a timely and professional manner
- Work with the Controller to implement, maintain, and update payroll policies and procedures to reflect regulatory changes and best practices
- Coordinate with external vendors for payroll software, tax filings, and year-end reporting (e.g., W-2s)
- Partner with the Controller on process improvement initiatives to optimize payroll efficiency and accuracy through automation, system enhancements, and collaboration with supervisors company-wide to address and rectify inefficient practices.
- Assist the Controller with the 401k and work comp audits by providing necessary documentation and explanations
- Establish and continuously improve communication frequency and methods with employees and supervisors regarding payroll information to ensure clarity and transparency.
- Hold the line and stand firm in enforcing payroll policies, providing support and data to help supervisors hold their teams accountable as needed.
QUALIFICATIONS
- Education: Bachelor’s degree in accounting, Finance, Human Resources, Business Administration, or related field, or equivalent combination of education and experience
- Demonstrated experience leading, supervising, mentoring, or developing employees
- Excellent communication and interpersonal skills, with the ability to effectively interact with employees, managers, and external stakeholders.
- Strong analytical, problem-solving, and research skills, including the ability to interpret regulations, investigate issues, and implement practical solutions.
- Proficiency in Microsoft Excel and other business software applications.
- Ability to manage multiple priorities, meet deadlines, and maintain a high degree of accuracy in a fast-paced environment.
PREFERRED SKILLS
- Payroll experience in a multi-state environment
- Supervisory experience within payroll, accounting, finance, human resources, or a related function.
- Working knowledge of payroll tax regulations, wage and hour laws, and payroll compliance requirements.
- Experience with payroll and HRIS systems, preferably UKG.
LEADERSHIP RESPONSIBILITIES
This position requires you to lead the staff payroll.
TRAVEL REQUIREMENTS
This position may require travel to other locations.
