Well Rooted Pediatrics is a functional and integrative pediatric practice in Frisco. We look for the root cause of what's going on with a child — nutrition, lifestyle, environment — and give parents real education and real choice, including around vaccines. Families drive in from across North Texas for the extra time our providers spend with each patient.
We're hiring an experienced medical front office professional. You are the first voice a family hears and the first face they see: phones, check-in and check-out, scheduling, insurance verification, and payment collection for a small team supporting three providers. It moves quickly, and a calm, organized desk is what keeps the day on track.
This posting is front office only. We have a separate clinical MA team; this is a non-clinical role and you will not be asked to room patients or perform clinical tasks.
WHAT YOU'LL DO
•
Check-in & check-out — welcome families, verify demographics and consents, complete new-patient registration and portal setup, and collect copays, balances, and self-pay fees with accurate posting

Phones & messaging — answer a multi-line phone system and secure text messaging professionally; identify medical questions and route them to triage or the provider without giving clinical advice

Scheduling — book the right visit type and length, manage same-day sick requests and waitlists, work past-due well-exam recall lists, and apply no-show and late-arrival policy

Insurance & benefits — verify eligibility before every visit, explain copays, coinsurance, and self-pay clearly to parents, and document verification in the chart

Records & chart prep — prep charts before visits, handle records requests, school notes, and transfers, and keep patient information accurate in the EHR
•
Office flow — prioritize calmly when the phone, the desk, and a provider message all need you at once; keep the reception area clean and welcoming
WHAT WE'RE LOOKING FOR
We are not hiring entry-level candidates for this position. After our two-week orientation, you should be able to run the desk independently.
Required
• At least 2 years of medical front office experience in a physician's office or outpatient clinic
• Hands-on experience verifying insurance eligibility and benefits and collecting payments at the time of service
• Multi-line phone experience and a clear understanding of what a non-clinical desk may and may not say to a caller
• Experience scheduling in a practice-management EHR
• Comfortable with children of all ages and with anxious, frustrated, or worried parents — calm, warm, and respectful under pressure
• Organized and accurate; able to prioritize several demands at once without dropping the one in front of you
• Coachable and team-oriented; reliable transportation and dependable, punctual attendance
Strongly preferred
• Pediatric or family-medicine practice experience
• Experience with recall and schedule-utilization work
• Integrative, functional, or holistic practice experience, or genuine interest in the model
COMPENSATION & BENEFITS
• Hourly pay based on experience and skill set, paid bi-weekly
• 80 hours of PTO per year plus practice-observed holidays
• Monday–Friday with a full, uninterrupted lunch hour
