Job Summary/Basic Function
The Undergraduate Internship Program Assistant supports the Career Center's efforts to educate students about internship opportunities and the process for earning academic credit through internships. This student employee serves as a peer resource, helping students navigate internship registration procedures, promoting Career Center programs and events, and assisting with data management and administrative operations. The position provides valuable experience in student engagement, communication, event planning, and office administration.
Required Qualifications
- Current undergraduate student in good academic standing.
- Strong interpersonal and communication skills.
- Ability to work independently and as part of a team.
- Strong organizational skills and attention to detail.
- Basic proficiency in Microsoft Excel, Word, and PowerPoint.
- Ability to maintain confidentiality and professionalism when interacting with students and employers.
Preferred Qualifications
Experience in customer service, student leadership, campus involvement, or peer mentoring.
Familiarity with Handshake or other career management platforms.
Experience creating marketing or promotional materials.
Job Duties
Student Support & Internship Education
- Develop and maintain extensive knowledge of the internship registration process and requirements for academic credit.
- Educate students on the two-step process for registering internships for academic credit.
- Meet with students to explain internship registration procedures and answer basic questions.
- Assist in managing internship registration activities through Handshake.
- Refer students to appropriate Career Center staff for complex questions or concerns.
Outreach & Marketing
- Create flyers, social media content, and other promotional materials for Career Center programs and events.
- Promote internship opportunities and Career Center resources through campus outreach efforts.
- Represent the Career Center at campus events.
- Post flyers, yard signs, and other promotional materials throughout campus.
- Assist with classroom visit preparations and outreach initiatives.
Data Management & Administrative Support
- Compile, process, and organize internship-related data using Excel and other tracking systems.
- Maintain accurate records and assist with data reporting projects.
- Copy handouts and prepare materials for workshops, presentations, and events.
- Support office operations and special projects as assigned.
Event Support
- Assist with Career Center events, including:
- Job & Internship Fairs
- Graduate School Fair
- Teacher Recruitment Day
- Career workshops and networking events
- Support event setup, registration, and teardown activities.
- Provide customer service to students, employers, and event attendees.
Front Desk & Customer Service
- Serve as reception desk coverage as needed.
- Greet and assist students, employers, faculty, and visitors.
- Manage appointment scheduling and check-in procedures.
- Provide information about Career Center services and resources.
- Maintain a professional and welcoming office environment.
