POSITION OVERVIEW
The People Operations Compliance Coordinator supports BGCP's compliance, recordkeeping, and data integrity efforts across employee and volunteer programs. This role coordinates compliance processes, maintains accurate and audit-ready records, and helps ensure adherence to organizational policies, regulatory requirements, and BGCA standards.
Reporting to the Senior Director of People Operations, with a dotted-line partnership to the Senior Director of Community Engagement, this role partners closely with the People Operations Generalist, broader People Team, and Volunteer Team to support compliance administration, policy implementation, audit readiness, and HRIS data integrity. Success in this role requires strong organization, attention to detail, discretion, and the ability to manage multiple compliance-related processes in a dynamic environment.
ROLE & RESPONSIBILITIES
People Operations, Compliance Management & Employee Lifecycle Operations
- Lead administration and tracking of employee compliance requirements (e.g., I‑9s, required trainings, certifications, acknowledgments), ensuring accuracy, timeliness, and audit readiness
- Monitor compliance-related expirations (e.g., certifications, work permits, trainings), including transitions for teen staff turning 18, ensuring timely follow-up and remediation
- Maintain compliance with California law, BGCA standards, and organizational policies; monitor updates and recommend enhancements
- Support internal, external, and regulatory audits by ensuring documentation is complete, accurate, and readily accessible
- Ensure accuracy and integrity of HRIS and related systems through regular audits, updates, and documentation
- Maintain employee records, including status, roles, and organizational data, with a high level of confidentiality
- Maintain personnel files in accordance with organizational policy and record retention requirements
- Manage policy lifecycle processes, including handbook updates, distribution, and acknowledgment tracking
- Support onboarding and offboarding processes by ensuring required documentation and system updates are completed and audit-ready
- Partner on unemployment insurance and workers’ compensation processes through accurate data management and documentation
Volunteer Compliance & Oversight
- Maintain accurate tracking systems and records for volunteer and external partner compliance requirements including background checks, TB documentation, and required trainings
- Maintain compliance with California law, BGCA standards, and BGCP policies by monitoring regulatory updates, conducting regular audits, and recommending and implementing process improvements to ensure ongoing adherence
- Conduct regular audits of volunteer documentation and compliance status in partnership with the Volunteer Team
- Develop resources and visual guides to strengthen understanding of compliance requirements
- Support facilitation of volunteer compliance training and orientation sessions, both in-person and virtual
- Respond to compliance-related inquiries from volunteers, staff, and external partners
- Support the creation, maintenance, and refinement of reports, dashboards, and analyses that inform internal communication and data-driven decision-making
Reporting & Cross-Functional Collaboration
- Produce and maintain compliance, audit, and workforce reports; track trends and identify improvement opportunities
- Partner with cross-functional teams to codify processes and ensure alignment with compliance requirements
- Collaborate across People Team to ensure consistency in processes and systems
- Provide guidance on compliance-related processes and identify opportunities to improve workflows, systems, and operational efficiency
*Perform additional relevant duties as assigned to support evolving organizational needs. This role supports both volunteer compliance and people operations, with time allocation shifting based on seasonal needs, priorities, and organizational demands.
QUALIFICATIONS
- Bachelor’s degree or equivalent relevant work experience
- 3+ years of experience in compliance, People Operations, HR, Volunteerism, or related fields
- Familiarity with HR processes and compliance management tools
- Experience working with HRIS systems and maintaining data integrity
- Ability to manage complex systems, audits, and processes with exceptional attention to detail
- Strong organizational and coordination skills, with the ability to manage multiple processes, timelines, and stakeholders simultaneously
- Ability to handle sensitive and confidential information with discretion
- Strong written and verbal communication skills, with the ability to clearly communicate processes and provide guidance to employees and stakeholders
- Ability to work both independently and collaboratively in a fast-paced and evolving environment
- Detail-oriented with a proactive and solutions-focused approach to improving processes and employee experience
- Strong interpersonal skills and ability to build strong relationships across diverse groups
- Salesforce and/or PEO experience a plus
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
This role primarily involves approximately 80% sitting and 20% walking or standing, with occasional physical activity such as lifting, carrying, pushing, or pulling. It may also involve occasional stooping, kneeling, bending at the waist, reaching overhead, crouching, squatting, or crawling, as well as fine finger dexterity for detailed work and near vision acuity. The position may occasionally require handling objects weighing up to 25 pounds. All requirements are subject to reasonable accommodations.
LOCATION
Menlo Park, CA
WORK SCHEDULE
Generally, Monday - Friday from 9 AM to 5 PM, however, flexibility is required to align with the organization's needs.
This position offers a hybrid work arrangement, combining both in-office and remote work. You are expected to adhere to the following schedule:
- In-Office Days: Mondays and the designated onboarding day, typically Tuesdays (occasionally Thursdays, depending on scheduling)
- Remote Work: Wednesdays, Thursdays, and Fridays are set aside for remote work; however, if Thursday is an onboarding day, remote work may shift to Tuesday instead
- Flexibility: Please note that this schedule is subject to change, and adjustments may be made in alignment with organizational needs and evolving circumstances
COMPENSATION & BENEFITS
- Employment Status: Full-Time, Non-Exempt
- Pay Range: $25-$35/hour, depending on experience (DOE)
- Health Benefits: You are entitled to company-provided medical, dental, and vision benefits as well as life and long-term disability insurance paid at 100% by BGCP with additional buy up options beginning on your start date
