Job Description

TL;DR: Were looking for a People Operations Specialist to run the systems and daily operations behind Hallows People function for a fast-growing global team. You care about people just as much as you enjoy working with processes, software, and data, and youd rather automate repetitive work than keep doing it by hand.

What Youll Do

  • People Systems Administration: Youll own day-to-day administration of our people processes and systems (Rippling, Lattice, and Tilt). You'll manage and improve how we handle team member records and changes, offer letters and contracts, I-9s, employment verifications, background checks, leave administration, and performance management.
  • Data Integrity and Reporting: You'll make sure our People data is accurate and consistent across our systems. You'll implement new integrations, find and fix discrepancies, and build and maintain reporting that managers, the People team, and leadership rely on to make decisions.
  • Access and Devices: Youll manage access across our company-wide tools, including Google Workspace, Slack, and Zoom, from provisioning on someones first day through removal on their last. Youll own device procurement, storage, and collection with our third-party logistics vendor and will run our periodic access reviews.
  • Automation and Integrations: Youll find repetitive work buried in our People and Ops processes and build it away, using Ripplings integrations along with tools like Claude Code and Windmill.
  • Team Support: Youll take the first pass on our internal People and Ops request queue, which is one of the most personally impactful ways our team experiences our People function. You'll field questions from across the team about benefits, systems, devices, and policies, answering what you can and escalating what you cant.
  • Compliance Cycles: Youll keep recurring compliance work on schedule, including annual compliance training, benefits reporting and census audits, access reviews, and support for our SOC 2 information security program.
  • Possible Flex into Admin Support: This role has the potential to flex into offering direct administrative support to Hallow's CEO and executive leadership team.

What You'll Love

  • Mission: This work is incredibly humbling. Every day we hear amazing stories and we get the pleasure of working on something thats impacting lives. One of our favorite user quotes: "I hate quoting an old, overused cliche, but Ive been very lost. And I think for the first time in a while I may be found."
  • Ownership: Youll own the systems and operational infrastructure that the entire People function runs on, and have real latitude to improve it. If something is broken or could work better, youll be the one to fix it.
  • Growth: From day 1, youll be a part of the startup journey. This role is built to grow as you dive deeper - as you automate the repetitive and transactional work, you'll free up time for projects in areas like internal communications, knowledge management, deeper tooling and systems builds, people analytics, and compliance.
  • Flexibility: HQ is in Chicago and we would love to have as many team members there as possible, but we are completely flexible on location within the United States.
  • Comp: We will pay competitive market rates in terms of equity, cash, & benefits.

What We're Looking For

  • Passion: First & foremost, were looking for someone excited about our mission. It makes it a lot more fun :)
  • Builders instinct: You see a problem and want to solve it, and youd rather build a workflow, an automation, or a small internal tool than keep using a workaround. You've built things with AI that get used regularly, and you keep up with what's new. You collaborate well with others, but you also dont wait for a playbook to get started.
  • Curiosity and follow-through: You notice the integration that stopped working or the question that keeps coming back, and your next step is to investigate the cause and then drive a resolution. Youre comfortable reading contracts and policies, and you want to know why things work the way they do.
  • People-first: The People and Ops functions are service-focused, and you take that seriously. When someone reaches out with a question about their benefits, a problem with their device, or a request they dont know how to route, youre the person who makes them feel heard and taken care of. Youre warm, responsive, and people enjoy interacting with you. Youll treat all of the team's sensitive information the way youd want yours treated.
  • Tech-savvy: Youre comfortable navigating a broad tech stack, and ideally youve worked with tools like Google Workspace, Slack, or Zoom at an admin level. You learn new tools quickly, and you can hold your own in a conversation about systems, integrations, and infrastructure without being an engineer.
  • Experience: Youve spent 1-3 years in a People/HR or executive support role. Youve worked at a startup or small company where you wore a lot of hats and naturally gravitated toward the process, systems, and tooling side of the work. Pluses: prior HRIS administration, exposure to a SOC 2 or GRC platform like Vanta, and comfort building with tools like Claude Code, Codex, Windmill, or Google Apps Script.
