Description of Work
Position Definition: Provides assistance to Public Works Coordinator & Permit Engineer, coordinating the permitting process. Includes, but not limited to assisting members of the public and contractors with permit-related questions, responding to phone calls and walk-in inquiries, receiving and processing permit paperwork, maintaining permit records, and documenting permit information.
General Duties: Provides administrative and customer service support to the Public Works Coordinator and Permit Engineer. Answers phones, assists walk-in customers and contractors with general permit questions, receives and processes permit paperwork, and enters and updates information in TRAKiT and other electronic systems. Maintains permit and project records, including filing plans and documents, and preparing routine correspondence and permit approvals. Assists with Customer Service requests, including gathering information and documentation and routing matters to appropriate staff. Assists with preparing spreadsheets, reports, maps, and other documents, including maintaining electronic project and GIS records. Performs occasional field work, such as taking photographs or gathering information, as directed by the Supervisor. Performs other administrative duties as assigned.
Additional Duties: Assists with special Public Works and Engineering projects and administrative activities as assigned. Assists with maintaining project records, preparing reports and spreadsheets, updating maps and databases, and organizing information for City projects. Performs other related administrative duties as deemed necessary by the Public Works Coordinator and Permit Engineer.
Supervised By: Receives general supervision from the Public Works Coordinator & Permit Engineer.
Required Knowledge, Skills and Abilities
The ability to calculate field measurements and enter data into a variety of software, through multiple devices. Ability to interpret plans and specifications. Ability to prepare clear and concise technical reports. Ability to learn and effectively use new software. Ability to direct the work of others. Ability to work in poor weather conditions including heat, cold, rain or snow. Ability to lift objects weighing 25-50 pounds.
Minimum Qualifications
Education, coursework, and/or work experience demonstrating the ability to learn construction and engineering concepts, permit processing procedures, and the interpretation of specifications and related documents.
Special Licenses/Certifications AND/OR Supplemental Information
License or Certificate: Valid Motor Vehicle Operator's License.
