Position Overview:

We are looking for a Permit Coordinator to join the Building Inspection Department. The Permit Coordinator has a key role that involves processing permit applications, ensuring compliance with local codes and regulations, and coordinating with inspectors, contractors, and the public. The ideal candidate will have excellent organizational and communication skills and a strong understanding of permitting processes.

Responsibilities:
  • Receive, review, and process permit applications for residential and commercial projects.
  • Ensure applications meet local, state, and federal building codes.
  • Receives construction documents from clients such as developers, residential home builders, or private citizens
  • Route construction documents to plans examiners
  • Receives documents back from plans examiners and uploads documents to the jurisdiction website or portal, or delivers to the local municipality
  • Tracks permits through the entire permitting process at the jurisdiction (zoning, fire, civil, landscaping, etc.)
  • Keeps the client informed of the status of their permit
  • Files notices of commencement for clients
  • Attends in-person meetings with clients and/or local jurisdictions to discuss permits
  • Work closely with inspectors, contractors, engineers, and applicants to facilitate approvals.
  • Maintain accurate digital and physical records of permits, inspections, and invoices.
  • Guide applicants on permit requirements, fees, timelines, and procedures.
  • Monitor pending permits, follow up on missing documentation, and ensure timely issuance.
  • Generate reports on permit activities, fees collected, and processing timelines.
  • Organize and manage data related to billing, invoices, and contracts.
  • Assemble and submit permit applications, track approvals, and scan completed project files into storage.
  • Handle calls from clients, municipalities, and colleagues professionally.
  • Create correspondence, reports, and other necessary documents.
  • Operate a computer efficiently, with a minimum typing speed of 50 wpm
  • Function effectively in a fast-paced environment, multitask and support special client requests.
  • Follow safety procedures and company policies.
  • Other duties as assigned.

Qualifications:
  • Valid Florida Driver’s License with an acceptable driving record (in accordance with our
  • Driver’s License and Motor Vehicle Record Check Criteria)
  • Ability to pass a background check screening in accordance with Florida’s Jessica Lunsford Act (or equivalent state classification)

  • High school diploma or equivalent
  • 1-3 years related experience in permit coordination, building inspections, or municipal government
  • Familiarity with the building codes, zoning regulations, and construction permit requirements
  • Experience in a municipal building department or the construction industry preferred
  • Knowledge of local and state permitting regulations preferred
  • Certification as a Permit Technician (e.g., ICC Permit Technician Certificate) is a plus preferred
  • Proficiency in permitting software, Microsoft Office Suite and document management systems
  • Strong verbal and written communication skills for interacting with the public and professionals
  • Ability to review documents for accuracy and compliance
  • Ability to manage multiple permit applications and deadlines efficiently
  • Ability to read and write, including interpreting documents such as safety rules, operating and maintenance instructions, and procedure manuals, as well as writing routine reports and correspondence, and speaking effectively with colleagues, supervisors, and customers/clients.
  • Mathematical skills sufficient to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals.
  • Reasoning ability to apply common sense understanding to carry out instructions furnished in written, oral, and diagram form.

    Travel Requirements:

    This position does not require regular travel as part of its primary responsibilities. However, occasional travel
    may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or company events.
    Travel, when necessary, will be communicated in advance and aligned with business needs.

    • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
