A highly successful entrepreneur, real estate owner, and trusted professional is seeking an exceptional Personal Assistant to serve as their right hand in both personal and business matters. This is not a traditional 9-to-5 role. The ideal candidate is highly organized, resourceful, trustworthy, and willing to do whatever it takes to ensure that projects, tasks, and priorities are handled efficiently. No task is too small or too large—from coordinating real estate related projects to managing schedules, supervising household staff, making appointments, handling correspondence, and overseeing ongoing projects. The successful candidate will become a trusted partner responsible for helping manage a fast-paced lifestyle, multiple residences, charitable initiatives, and various personal and business-related responsibilities.

Responsibilities:

  • Manage complex calendars, appointments, meetings, and travel arrangements
  • Coordinate personal and business-related scheduling and logistics
  • Monitor and manage email communications and correspondence
  • Oversee multiple residences and ensure properties operate smoothly
  • Coordinate with architects, designers, contractors, vendors, and service providers
  • Supervise household staff, including housekeepers and other support personnel
  • Manage ongoing projects and ensure timely follow-up and completion
  • Research solutions, gather information, and proactively solve problems
  • Maintain spreadsheets, reports, inventories, and organizational systems
  • Coordinate purchases, deliveries, furniture installations, and household logistics
  • Schedule personal appointments and errands as needed
  • Assist with charitable and philanthropic initiatives
  • Manage vendor relationships and service providers across multiple properties
  • Prepare detailed lists, action items, and project updates
  • Handle confidential personal and business matters with discretion
  • Be available for occasional evening and weekend responsibilities as needed
  • Other duties as assigned

Requirements:

  • Previous experience as a Personal Assistant, Executive Assistant, Estate Manager, Household Manager, or similar role
  • Exceptional organizational and multitasking abilities
  • Strong problem-solving skills and ability to think outside the box
  • Excellent written and verbal communication skills
  • High level of discretion, confidentiality, and professionalism
  • Ability to manage multiple projects simultaneously
  • Strong follow-through and attention to detail
  • Comfortable working in a fast-paced and ever-changing environment
  • Tech-savvy with proficiency in Microsoft Office, Google Workspace, and spreadsheets
  • Ability to work independently and anticipate needs before they arise
  • Strong interpersonal skills and ability to work with a wide variety of personalities
  • Luxury household, high-net-worth individual, family office, real estate, or estate management experience is highly preferred

Salary: 75K- 115K

Hours: 9 am - 5 pm (Weekend availability)
