We are seeking a Personal Assistant who will work directly with the CEO to streamline daily operations and provide critical support in both professional and personal aspects. Key Responsibilities:
Calendar Management & Scheduling: Coordinate meetings, appointments, and travel arrangements, ensuring that the CEO's time is maximized. This includes both business and personal engagements, prioritizing effectively.
Communication Liaison: Act as a gatekeeper for emails, phone calls, and messages, managing inquiries, drafting responses, and escalating when necessary.
Project Management: Assist with executing various projects, tracking progress, and ensuring deadlines are met. You'll be hands-on in the planning process and assist with implementation.
Research & Documentation: Research a variety of topics, preparing reports, summaries, and presentations as needed.
Event Planning: Organize personal and professional events, from small meetings to large-scale conferences or retreats. Creativity and attention to detail are key!
Problem Solving: Use your initiative to solve problems before they arise, from personal scheduling conflicts to office supply shortages.
Creative Support: Occasionally assist with brainstorming sessions, creating mood boards, or sourcing inspiration for upcoming projects and campaigns.
Personal Errands: Manage personal tasks for the CEO, such as handling home service needs, managing personal appointments, and coordinating family schedules.
Confidentiality: Maintain discretion at all times, ensuring sensitive information is handled with the utmost professionalism.
Key Skills & Qualifications:
Proven experience as a Personal Assistant, Executive Assistant, or similar role
Strong proficiency in office software (Microsoft Office Suite, Google Workspace, project management tools like Asana or Trello)
Exceptional communication and interpersonal skills
Superior organizational skills with the ability to multitask and prioritize tasks effectively
Highly resourceful with the ability to work independently and take initiative
A proactive mindset and a can-do attitude
Ability to maintain a high degree of professionalism and confidentiality
Creative thinking, especially in project management and problem-solving
Flexibility and adaptability to ever-changing work environments
Experience with event planning and coordination is a plus
