Job Title:Personal Assistant to CEO

We are seeking a highly organized, discreet, and proactive Personal Assistant to support a CEO across professional, personal, and household matters. This role requires exceptional judgment, flexibility, emotional intelligence, and the ability to operate in a fast-paced, high-expectation environment with absolute confidentiality.
The ideal candidate is detail-oriented, resourceful, calm under pressure, and experienced managing complex schedules, travel, communications, and lifestyle logistics.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling, and meeting coordination across multiple time zones
- Prioritize and respond to communications on behalf of the CEO when appropriate
- Coordinate business appointments, conferences, and executive events
- Prepare agendas, briefing materials, expense reports, and follow-up items
- Serve as gatekeeper and liaison with executives, investors, advisors, and external partners
Personal & Lifestyle Management
- Coordinate personal appointments, reservations, and household schedules
- Oversee luxury travel arrangements including flights, hotels, ground transportation, visas, and itineraries
- Manage gifting, special events, and personal logistics
- Handle personal shopping, sourcing, and vendor coordination
- Support relocation, property oversight, and residence management as needed
Administrative Operations
- Maintain confidential files, records, and sensitive information
- Own the management and operations of business office; coordinating with cleaning company, stocking and ordering supplies
- Process invoices, reimbursements, and basic bookkeeping support
- Conduct research and prepare summaries or recommendations
- Create systems and workflows to improve organization and efficiency
- Assist with special projects and ad hoc requests with urgency and professionalism
Qualifications
- 5+ years of experience supporting a CEO, founder, or UHNW individual
