Additional Information: Show/Hide Summary: The Personnel Technician is responsible for ensuring proper and efficient placement of substitute for certified staff; as well as performing a variety of clerical duties.

Qualifications:

  • High School Diploma or equivalent
  • Ability to take and follow directions easily

Preferred Qualifications:

  • A minimum of 2 years prior experience in secretarial/clerical office environment
  • Exceptional computer skills with specific knowledge of Microsoft Word and Excel and the ability to quickly learn the Human Resources Management system and the Aesop on-line substitute teacher placement system
  • Must be bondable for notary

Essential Functions:

  • Ability to complete tasks under pressure of deadlines and multi-task with various pressing duties

  • Ability to use a telephone for extended periods of time in a professional, courteous manner
  • Timely and accurately file and organize employee personnel files
  • Ability to complete background checks
  • Ability to take notes for HR Meetings, Negotiations, ext.
  • Ability to complete detailed and complex assignments and organize/prioritize projects with minimal supervision
  • Must demonstrate discretion, tact, and confidentiality, often in stressful situations
  • Effectively communicate with all GFPS employees to ensure appropriate placement of substitute teachers and substitute para educators
  • Maintain substitute teacher database to ensure proper and efficient placement of substitutes
  • Manage master calendar of teacher absences to prepare for upcoming events in order to avoid having uncovered classrooms
  • Coordinates and conducts interviews of substitute teachers and crossing guards
  • Hiring decisions made in conjunction with HR Director
  • Coordinate Quarterly & Yearly Trainings for Subs, Yearly Trainings for Crossing Guards
  • Compiles and maintains monthly reporting on teacher absences with prior year data comparisons, maintain accurate payroll reports weekly
  • Telephone placement of substitute teachers, substitute para educators and sub crossing guards for all Great Falls Public Schools
  • Maintain confidential employee personnel files for substitute teachers
  • Appropriately handle employee relations matters
  • Other personnel/secretarial/clerical duties as assigned
  • Assist in the operation and maintenance of the automated sub-calling system
  • Ability to troubleshoot and work independently
