Overview

The Philanthropy Assistant, Major Gifts provides essential administrative and operational support to three Major Gifts fundraisers, helping to keep donor activity organized, responsive, and moving forward. The role manages a variety of responsibilities, including data entry, correspondence, calendaring, gift processing, travel arrangements, meeting preparation, and event support. Strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities are essential to the role. By providing reliable and timely support to the Major Gifts team, this position helps fundraisers build and sustain donor relationships and supports the Division's efforts to advance philanthropic support for Dana-Farber's research and patient care priorities.

This position's work location is fully remote with occasional time on-campus in Brookline, MA. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI).

Primary Duties and Responsibilities:

• Administrative Support: Assist with day-to-day administrative tasks, including but not limited to, managing calendars, scheduling meetings, travel arrangements, mail management, and preparing meeting materials.
• Data Management: Maintain and update organizational and management systems and databases, ensuring accuracy and confidentiality of information. Assist in generating reports as needed.
• Communication: Prepare and edit correspondence, documents, reports, and presentations. Provide timely email and phone communication with internal and external stakeholders.
• Financial Support: May include, but not limited to, P-card review and reconciliation, expense reimbursement processing.  May assist with preparing donor acknowledgement and correspondence.
• Event Support: May contribute to the logistical planning and execution of meetings, events and programs.
• Collaboration: May collaborate with colleagues on team-wide or Division-wide ad-hoc projects and initiatives.
• Other duties as assigned.

Knowledge, Skills and Abilities:

• Communication: Good written and verbal communication skills.
• Customer Service Orientation: Customer service skills and the ability to interact professionally with peers, leadership, donors and external contacts.
• Organization: Ability to organize, prioritize, and follow-through on a variety of projects under the close supervision of a manager. Good attention to detail with ability to perform and complete tasks with accuracy.
• Problem-Solving: Must possess the ability to identify issues and proactively work to resolve problems.
• Confidentiality: Ability to maintain discretion and handle confidential information with care.
• Computer Literacy: Basic knowledge of Microsoft Office Suite.
