    The Philanthropy Data Operations Coordinator is responsible for the management, integrity, and day-to-day operation of the donor database that supports Rocky Mountain Public Media's Philanthropy team. This role ensures donor records, gift information, and reporting systems are accurate, reliable, and accessible, combining hands-on database management with operational support for fundraising campaigns, donor stewardship, and financial reporting. The Coordinator leads data governance practices, database workflows, and data standards for the Philanthropy team, and works closely with Philanthropy, Finance, Membership, and external vendors to ensure strong coordination around donor data, reporting, and fundraising operations.

    Essential Duties & Responsibilities

    Donor Database Management & Data Governance

    • Serve as the primary administrator for the donor CRM (ROI Solutions REV CRM).
    • Maintain the integrity, structure, and accuracy of donor records and gift information within the database.
    • Establish and maintain data governance practices and data standards to ensure consistent database usage across the Philanthropy team.
    • Develop and document processes and procedures related to gift entry, reporting, and data hygiene.
    • Conduct routine database audits and maintenance to ensure accuracy and data health.
    • Serve as the internal resource for database questions and provide staff guidance on proper database usage.

    Gift Entry, Processing & Financial Reconciliation

    • Record philanthropic gifts (typically $1,200+) in the donor database and ensure donor information is updated and accurate.
    • Collaborate with the Philanthropy and Finance teams to ensure timely gift processing and accurate documentation of donations.
    • Support the preparation of weekly and monthly gift reports.
    • Partner with Finance on monthly reconciliation of philanthropic revenue.
    • Ensure gifts, pledges, and donor designations are accurately tracked and recorded.

    Reporting & Fundraising Data Support

    • Pull routine and ad hoc reports from the donor database to support fundraising activities, donor stewardship, and leadership reporting.
    • Generate donor lists, giving reports, campaign data, and other reports needed by the Philanthropy team.
    • Create and maintain complex, "Level 2" reports using system queries and advanced reporting capabilities within Rev CRM.
    • Prepare reports used in campaign planning, donor engagement discussions, and fundraising performance tracking.
    • Participate in team conversations where donor and campaign data are reviewed and discussed, ensuring accurate information is available for decision-making.
    • Monitor fundraising data to identify potential errors or inconsistencies and resolve them as needed.

    Fundraising Campaign Support

    • Create donor lists and segmentation reports to support fundraising campaigns, mailings, and events.
    • Manage routine and annual data uploads and tracking related to donor communications, campaigns, and major donor activities.
    • Coordinate with internal teams and third-party vendors to ensure accurate data is used in campaign outreach.
    • Track campaign performance data and provide reports to support evaluation and planning.

    Donor Stewardship & Prospect Support

    • Provide lists and reports to support gift acknowledgments, stewardship outreach, and donor renewal efforts.
    • Generate prospect lists and donor reports using the Audience Activation Platform and other available data tools.
    • Assist in identifying donors with higher giving capacity or engagement potential for further review by the Philanthropy team.

    Cross-Team Coordination & Vendor Support

    • Serve as a liaison to other teams at RMPM when donor data, reports, or lists are needed.
    • Coordinate data exchanges and reporting with third-party fundraising vendors and CDP.
    • Manage requests related to donor data and ensure that information shared internally and externally meets established data standards.
    • Maintain data uploads to platforms such as Simply Noted and other donor communication tools.
    • Actively participates in RMPM's Diversity, Equity, and Inclusion (DEI) training program. Uses key standards and teachings of DEI training in day-to-day work.
    • Other tasks as assigned and/or required.

    Minimum Qualifications of Position

    • Bachelor's degree in a related field, or equivalent combination of education and experience.
    • A mix of demonstrated skills, abilities, and knowledge will be considered in place of education requirements.
    • 2–4 years of experience working with a donor or constituent database (e.g., ROI Solutions REV CRM, Raiser's Edge, Salesforce, or similar CRM platform).
    • Demonstrated experience with gift entry, data management, and reporting in a fundraising or nonprofit environment.
    • Strong analytical skills and comfort working with complex datasets, queries, and reporting tools.
    • High level of accuracy and attention to detail, with strong organizational and time-management skills.
    • Proficiency in Microsoft Excel; general proficiency with Outlook, Word, and related office software.
    • Ability to maintain confidentiality of sensitive donor and financial information.
    • Strong written and verbal communication skills, with the ability to work collaboratively across teams.

    Our salary ranges are designed to be competitive for our size and industry and are one part of our overall compensation package, which includes benefits. Final compensation is based on qualifications, relevant experience, skillset, and internal equity. While we've shared the full salary range for transparency, most offers typically fall near the midpoint of the salary range.
