We are seeking an organized, detail-oriented Planning Assistant to support planning, scheduling, coordination, research, documentation, and administrative activities. The ideal candidate will be comfortable managing multiple priorities, maintaining accurate records, preparing reports, and coordinating with internal teams, clients, vendors, and other stakeholders.
Compensation for this position is $45,000–$60,000 per year, depending on experience, education, organizational skills, and qualifications.
Key Responsibilities
- Assist planning managers and team members with daily planning and coordination activities.
- Maintain schedules, calendars, project timelines, and planning documents.
- Gather, organize, and analyze information needed for planning decisions.
- Prepare reports, presentations, meeting materials, correspondence, and other documentation.
- Coordinate meetings, planning sessions, site visits, and stakeholder communications.
- Track project milestones, deadlines, action items, and follow-up activities.
- Maintain accurate databases, records, files, maps, and planning documentation.
- Assist with research related to projects, policies, regulations, demographics, land use, operations, or organizational needs.
- Communicate with departments, contractors, consultants, clients, government agencies, and community stakeholders as required.
- Monitor assigned projects and provide updates regarding progress, schedules, and outstanding tasks.
- Assist with preparing applications, permits, forms, proposals, and planning submissions.
- Support public meetings, presentations, workshops, and community outreach activities when applicable.
- Help identify scheduling conflicts, documentation gaps, and potential project issues.
- Perform general administrative and clerical duties in support of the planning department.
- Maintain confidentiality and handle sensitive information professionally.
Qualifications
- Associate or bachelor's degree in Urban Planning, Business Administration, Public Administration, Project Management, Geography, or a related field preferred.
- 1–2 years of administrative, planning, project coordination, or related experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Strong attention to detail and accuracy.
- Ability to manage multiple assignments and meet deadlines.
- Proficiency with Microsoft Office or Google Workspace.
- Ability to learn planning, project management, database, and document-management systems.
- Strong research, problem-solving, and follow-up skills.
Preferred Qualifications
- Experience in urban planning, community development, construction, real estate, government, transportation, or project coordination.
- Familiarity with planning processes, zoning, permitting, or regulatory documentation.
- Experience with spreadsheets, databases, project-management software, or GIS tools.
- Experience preparing reports, presentations, or meeting materials.
- Previous experience working with government agencies or community stakeholders is a plus.
