Position Summary
We are seeking a highly organized and detail-oriented Planning Support Specialist to join our operations team. This role is responsible for processing new accounts, transfers, annuities, and account servicing requests while ensuring accuracy, efficiency, and compliance throughout the implementation process.
The ideal candidate thrives in a fast-paced environment, enjoys working with detailed processes, and can effectively manage multiple priorities while maintaining exceptional attention to detail.
Key Responsibilities
New Business Processing
  • Process new account applications, transfers, and rollovers
  • Review paperwork for completeness and accuracy prior to submission
  • Assist with account funding requests and MoneyLinks
  • Coordinate with custodians regarding account setup requirements
  • Monitor pending business and outstanding requirements
  • Support implementation of approved client recommendations
Annuity & Insurance Processing
  • Process annuity applications and related documentation
  • Monitor pending applications and follow up with carriers
  • Track outstanding requirements and status updates
  • Assist with policy servicing requests
  • Maintain accurate records and documentation
Account Servicing & Operations Support
  • Process account maintenance and servicing requests
  • Assist with Required Minimum Distribution (RMD) processing
  • Update account information and client records
  • Support paper and paperless enrollment requests
  • Coordinate with custodians and vendors regarding service requests
Workflow & Documentation Management
  • Maintain accurate workflow trackers and operational systems
  • Update client records and documentation in firm systems
  • Monitor task deadlines and follow established procedures
  • Assist with resolving outstanding requirements and corrections
  • Maintain organized, audit-ready digital records
Team Collaboration
  • Work closely with advisors, client service staff, and operations team members
  • Communicate status updates and operational issues proactively
  • Support department projects and process improvement initiatives
  • Participate in ongoing training and professional development
Qualifications
Preferred Experience
  • Previous experience in financial services, wealth management, insurance, banking, or operations support
  • Experience processing account paperwork, transfers, annuities, or financial transactions
  • Familiarity with CRM and document management systems
