Overview:

Mount Alverna Village, a part of Franciscan Ministries, is hiring an Inventory Control Coordinator. This position will be full-time and on the day shift. This candidate will be responsible for overall control and management of Materials for the entire community, coordination of purchasing duties, administration of MVP Plant and Work Order Request management as dictated by the Director of Plant Operations

 

We are a vibrant senior living community in Parma, Ohio. Mount Alverna Village is a continuing care retirement community (CCRC), offering a variety of senior lifestyle options including independent living, assisted living, and skilled nursing/long-term care. Additionally, the onsite rehabilitation clinic offers inpatient and outpatient physical, occupational, and speech therapies, and state-of-the-art programs designed to enhance the quality of life for residents and patients in the local community.

 

 

Duties and Responsibilities:

 

Administration
• Serve as coordinator of the Computerized Maintenance Management System (MVP Plant).
• Develop and Maintain preventative maintenance program, utilizing MVP Plant.
• Develop and Maintain work order maintenance program, utilizing MVP Plant.
• Develop and Maintain quality assurance program, utilizing MVP Plant.
• Develop and Maintain purchasing program, utilizing MVP Plant.
• Close all completed work orders, applying Labor, Equipment, Locations, and Parts along with description of services rendered.
• Generate reports, which include work order backlogs and labor performance for Performance Improvement purposes.
• Manage the daily Work Order requests for plant operations including: input of work order requests, generation of service tickets and prioritization of service requests.
• Manage the distribution of printed work orders to Plant Operations staff for completion.

 

Purchasing and Inventory Control
• Oversee the purchasing and organization of all Administrative, Medical and Plant Operations supplies.
• Plan, develop, organize, implement, evaluate and direct the Central Supply Department, its programs and activities. Standardize the methods in which work will be accomplished. Make written and oral reports/recommendations to the Director of Plant Operations concerning procurement procedures.
• Interview sales representatives and select vendors/suppliers in accordance with established policies and procedures.
• Recommend to the Director of Plant Operations the equipment and supply needs of the community.
• Consult with Director of Nursing regarding the medical supply needs of the community.
• Ensure that all purchase orders are properly prepared, signed and submitted as required as well as ensure all telephone orders are confirmed with a written purchase order. Assure that a stock level of supplies, equipment, etc./ are maintained at adequate levels at all times and assure that necessary equipment and supplies are maintained to perform authorized duties and services.
• Prepare and submit invitations to bid for major equipment. Recommend best bids to the Director of Plant Operations. Participate in research and demonstrate new products/equipment as approved. Ensure the highest quality for the lowest price through bulk purchasing, comparative pricing, etc.
• Prepare correspondence and claims concerning damaged merchandise, errors in shipment, and return to vendor as required. Develop methods of determining quality and quantity of supplied equipment purchased. Check invoices, purchase orders, packing slips, etc,. with incoming merchandise.

 

Quality Assurance Coordination
• Assist Director of Plant Operations in developing Quality Assurance documents.
• Evaluated all quality assurance documents and work to optimize them to the highest level of quality for all plant operations, including maintenance, housekeeping and laundry.
• Design and Implement forms, tasks and generation schedules for quality assurance documents into the computerized maintenance software MVP.

 

Safety
• Assist Director of Plant Operations in writing Community Safety and Code Policies. Incorporate policies related to inspections, etc. into MVP Plant system by creating tasks.
• Follow all established safety policies and procedures when performing job tasks.
• Report all unsafe/hazardous conditions, defective equipment, etc. to your supervisor immediately.
• Use appropriate personal protective equipment and supplies when handling infectious materials.
• Conduct safety inspections.

 

Graphic Design
• Design and create any necessary building signage. Signage must be created artistically to fit in with community atmosphere.
• Facilitate the purchase of any required signage that is not capable of being created at a facility level. These signs must be purchased through a vendor that is both high quality and cost effective.


Building Operation
• Organize and maintain all plant operations equipment manuals. All instructions must be properly sorted for easy reference by plant operations technicians.
• Have a basic understanding of all major plant operations building systems including, fire safety system, HVAC, plumbing, and non-telecommunication wiring.
• Organize and maintain all necessary documentation for annual state inspection.
• Make any necessary financial deposits and withdrawals at the bank for the Plant Operations department as dictated by either the Director of Plant Operations or the Finance Department.

 

 

Required skills and qualifications:

  • High school diploma or GED equivalent
  • Two years applicable related experience in Inventory Management.
  • Basic computer operating skills, including working knowledge of MS Office including Excel and Access.
